Position Summary/Description:
The Associate Director – Event Services position operates as the primary decision maker for Event Services in the absence of the Director of Event Services. This position serves on the leadership team for Event Services at the Carolina Union. Working in close collaboration with the Director and Assistant Director of Event Services, this position works to develop, implement, and assess policies and procedures, and initiatives and assesses long-term goals for the Office of Event Services. This position has a focus in supporting the facilitation of event and meeting room reservations as well as providing all guest services for programs at the FPG Student Union reserved through Event Services. This position provides logistics-based planning for Union programs and advises Departmental organizations hosting large-scale programs such as New Student and Transfer Orientation and Accessibility Resources and Services ( ARS ) testing which are two large-scale programs that impact the Union. Additionally, this position provides oversite for staff who focus on Audio-Visual and Room/Event setups. This position provides management of these resources and the policies that govern them. Additional areas of focus include fostering relationships and event-driven business with on and off- campus partners.
This position supervises a fulltime Guest Services Manager, Reservations Manager and 2 Event Managers (with a focus on Event Set-ups) positions and indirectly supervises their respective student teams comprised of 103 Undergraduate students, 3 temporary employees, and 1 Graduate Assistant.
Education and Experience:
+ Experience in supervising a fast-paced hospitality organization and/or scheduling, and event planning.
+ Experience in a college /university setting, with special preference for work experience in a college union.
+ Proven experience managing student employees in an educational setting, with a focus on fostering student learning and development.
+ Valid NC Driver’s License or eligibility to hold a valid NC Driver’s License.
Essential Skills:
+ Working knowledge of the event planning and management as well as the ability to relate successfully in one-to-one and group situations with people representing a wide variety of backgrounds and interests.
+ Excellent employee development and management skills.
+ Excellent, highly developed communication skills and be comfortable working with high-level and VIP clients.
+ Ability to clearly articulate the planning needs of a diverse university population and know how to meet their needs by developing the event with the organization and guiding them to the successful completion of that event.
+ Managerial, business, and financial skills to provide complete and accurate reservations and billing of events.
+ Ability to work as part of a team to assess structural deficiencies and implement effective organizational solutions.
+ Knowledge of facility operations and conference planning while being an excellent communicator and attentive to detail.
+ Ability to assess individual students’ needs to design and implement training that is intentional, measurable, and a clear benefit to both the employer and the employee.
+ Demonstrated abilities in management, staff development, and supervision of full-time staff or equivalent.
+ Knowledge and skill with computer applications such as reservations software, word processing, and e-mail is essential.
+ Familiarity with equipment used in event presentations and operations.
+ Demonstrated capability in budget preparation and financial management.
