UW faculty and staff also enjoy outstanding benefits, professional growth opportunities and unique resources in an environment noted for diversity, intellectual excitement, artistic pursuits, and natural beauty. **The Department of Advancement has an outstanding opportunity for an Associate Director of Fundraising Events (0.5 FTE) to join their team.** Reporting to the Associate Vice Chancellor of Development, the Associate Director is responsible for implementing all aspects of UW Bothell's fundraising events, including most prominently the division’s flagship fundraising luncheon, I Heart UW Bothell, along with school-specific revenue-driving events. Working both independently and closely with colleagues across the division and campus, the Associate Director will set strategic goals and creatively leverage special events and targeted activities to garner private investments in support of the mission and values of the University according to the Advancement team’s strategic plan. Events designed, executed, and evaluated by the Associate Director are meant to 1) promote the impact of UW Bothell; 2) recognize, cultivate, solicit, and steward our philanthropic partners; and 3) inspire future donor investment. The Associate Director will be responsible for contributing to the work, priorities, and goals of the Advancement team by engaging with UW Bothell’s diverse internal and external audiences including the greater community, alumni, friends, faculty, staff, volunteers, and donors. **DUTIES AND RESPONSIBILITIES** Event Execution Aligned with University of Washington Bothell Fundraising Strategy (60%) + Establish event-related goals that align with the strategic plan for the division. Identify gaps and co-develop a multi-year event portfolio to assist with the implementation of the strategic plan. + Oversee and coordinate the planning, execution, and evaluation of the events within the portfolio using quantitative and qualitative data to inform iteration and improvement. Create and implement a project plan for each event. Oversee and develops programmatic resources for events. + Manage competing priorities, procedures, and timelines simultaneously, to ensure organized event planning and execution. + Research vendors, book venues, schedule speakers, and serve as the principal liaison between contractors, organizers, staff, and external partners, ensuring all parties understand the event objectives and ensuring alignment with UW-Bothell goals. + Project manage collateral writing and design for special events including but not limited to programs, posters, banners, procedures, invitation copy, and scripts. + Serve as event day-of lead, deploying staff and volunteers effectively and efficiently. + Oversee guest services processes by collaborating with multiple campus partners to develop invitation lists, implement best practices for guest communications, and ensure meticulous attention to detail regarding guest requests. + Design and implement new methods, processes, and evaluation tools to measure outcomes of all activities, such as fundraising outcomes and satisfaction levels. Utilize data to track and evaluate progress toward agreed upon goals. Provide outcome reporting with recommendations for improvement. + Seek additional ways to continuously improve and enhance special events, implementing changes as necessary. + Manage risks and issues related to producing live experiences, ensuring mitigation strategies and contingencies plans are created where appropriate. + Ensure compliance with University policies, local, state, and federal regulations related to events.Leadership & Volunteer Management (20%) + Work closely with volunteers, attendees, Board members, University leadership, and campus partners to achieve event objectives, including scripting, audience development, and VIP participation. + Build, maintain, and grow relationships with volunteers, leading their collaboration while working with a variety of audiences and stakeholders in event design and strategy, goal planning, programming, troubleshooting, logistics, and execution. + Recruit, manage, and develop volunteers to support UW-Bothell events and activities. + Create, update, and maintain channels for sharing resources with volunteers, such as role descriptions, table captain packets, code of conduct, relevant event details, etc., while developing procedures to maximum event effectiveness.BUDGET DESIGN, TRACKING, AND ROI PROJECTIONS (15%) + Understand the revenue channels for fundraising events and identify and implement strategies to employ in order to maximize all opportunities for revenue. + Leverage frontline fundraising staff in audience development work to optimize fundraising goals. + Manage complex budgets, paying close attention to the balance of the benefit of a particular expense with the projected revenues. + Ensure all vendors, partners, etc. are paid and contracts are fulfilled.Other (5%) + Participate in relevant UW and University Advancement events and activities. + Participate in relevant working groups, committees, and professional activities. + Other duties as assigned. **MINIMUM REQUIREMENTS** + Bachelor's degree and four to five years of experience in development, special events, community engagement, or related area. Equivalent combination of comparable knowledge and skills may substitute for education and/or experience. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS** + Demonstrated experience in fundraising, development, grant writing, annual fund solicitation, or other similar activities. + Demonstrated creativity, organizational ability, and strong attention to detail. + Demonstrated experience in project management, working with large stakeholder groups. + Experience working with vendors, managing budgets, and tracking invoices. + The ability to understand data sets and make strategic decisions using data. + The capacity to achieve superior results working independently as well as effectively as a part of a team. + Excellent written, oral, and interpersonal skills with a customer service orientation. + Enthusiasm, initiative, and flexibility required. + Demonstrated strong computer skills, including proficiency with Microsoft Word, Excel, and PowerPoint for correspondence, special reports, spreadsheets, databases, forms, etc. **DESIRED QUALIFICATIONS** + Experience designing and hosting events that invite and include diverse perspectives, voices, and experiences. + Experience managing fundraising events. **CONDITIONS OF EMPLOYMENT** + Cubicle/Open workspace environment which may result in additional or higher levels of noise and visual distractions. + Ability to work evening and weekend hours, as necessary, on short or limited notice. + Must have regular and reliable transportation for local travel and willing to travel when necessary. + Frequent local travel expected. + Ability to lift 20 pounds regularly and up to 40 pounds occasionally for event setup and tear down.During Events (from setup to tear down) or on Event days: + Ability to stand 4 or more hours continuously. + Ability to walk 4 or more hours continuously. + Ability Standing: duration of 4+ hours for events. + Ability to work greater than a 10 hour day. **Application Process:** The application process may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
