Associate Director of Gifts Administration

Position Title:  Associate Director of Gifts Administration

Department:  Advancement

Reports to:  Director of Advancement Services

Appointment:  Full-Time (12 months)

Status:   Exempt

Bradley University is seeking an engaging and ambitious professional to serve as our organization’s Associate Director of Gifts Administration with ownership of accurate and efficient processing, reconciliation, and reporting of all philanthropic gifts to the university and a commitment to providing a great experience for our donors. In this role, you will serve as a member of the university’s Advancement Division and report directly to the Director of Advancement Services. 

Primary Responsibilities:

Serve as the Advancement Division’s expert and champion for timely and accurate administration of all charitable gifts to the university. This includes processing, documenting, and acknowledging/receipting all charitable gifts to Bradley University. Process and record all gifts to the university (in the form of checks, cash, credit card, EFT, online, payroll deduction, stock transfers, wire transfers, in-kind, etc.) in the Advancement Division’s constituent database (Blackbaud Raiser’s Edge) while maintaining a keen eye for exceptions, nuances, and unique gift scenarios.Prepare, process, and record all recurring gifts (e.g. payroll deduction, monthly giving, multi-installment pledges, etc.) in the Advancement Division’s constituent database.Provide oversight for preparation, processing, and recording of all employer matching gifts.Prepare and submit gift batches to Financial Services partners on a daily basis.Prepare and send customized gift acknowledgements/receipts to donors on a daily basis.Provide continuous oversight for the monitoring and management of open gift pledges and holding account balances.Generate a daily, monthly, quarterly, and annual gift and financial reports for Advancement Division, Financial Services, Financial Assistance, and other campus partners. Coordinate with appropriate campus partners for all calendar year and fiscal year end finance procedures.In partnership with Financial Services partners, maintain compliance with current tax requirements related to the processing, documentation, and receipting of philanthropic gifts. 

Additional Responsibilities:

Actively assist with other Advancement Division events/activities as needed.Represent the Advancement Division on ad-hoc or standing university committees, as appropriate and with the approval of the Director of Advancement Services.Participate in professional development as needed and/or assigned by the Director of Advancement Services, the Sr. Associate Vice President, the Vice President for Advancement, or the University.Perform other duties as directed by the Director of Advancement Services, the Sr. Associate Vice President, or the Vice President for Advancement.

Required Qualifications:

You have analytical and problem-solving skills, and a strong attention to detail.You have the ability to prioritize multiple tasks and maintain composure in a fast-paced environment.You are level-headed and adaptable in response to changing conditions, priorities, and expectations. You have exceptional communication skills and are responsive and professional when interacting with both internal and external partners using a variety of communication tools.You are good at problem-solving and using analytical skills to make thoughtful decisions.You are able to maintain confidential data.You are flexible in meeting occasional demands of peak workloads.You have experience with Blackbaud Raiser’s Edge or a similar CRM.

Preferred Qualifications:

You have experience working in higher education specifically within an Advancement Services operation.You have professional certifications with Blackbaud Raiser’s Edge.You have a bachelor's degree from a college or university.
