Associate Manager, HR Compliance- Hybrid, Melville, NY

JOB SUMMARY:

Responsible for managing the Company’s compliance with US federal, state, and local laws, including but not limited to Equal Employment Opportunity (EEO) and Affirmative Action (AA) federal contractor obligations.

KEY RESPONSIBILITIES:  


Affirmative Action
•    Directs, manages and provides guidance on the Company’s Affirmative Action Plans throughout the U.S. working with the Human Resources Managers/EEO Coordinators at each site location to ensure each AAP location maintains mandatory regulatory compliance as a Federal Government Contractor.

•    Coordinates all OFCCP Audits and provides support as required. Collaborates with outside Legal Counsel to ensure compliance with OFCCP Audit.

•    Assesses newly acquired Subsidiaries, determines if an AAP Plan is required and works with location to ensure the Plan is put into place providing the tools and guidance for implementation and mandatory regulatory compliance.   Provides yearly AAP Training to all site location Human Resources Managers/EEO Coordinators, as well as, advises on new OFCCP Regulations and Guidelines to ensure mandatory regulatory site compliance.  

•    Provides Management Staff with training on Affirmative Action; bi-annual and annual statistical reports on Affirmative Action progress and recommends steps in affirmative action based on statistical performance.

•    Leads the U.S. Corporate initiative for the AAP Plans, working with Talent Acquisition and the EEO/Coordinator regarding progress against goals; good faith efforts and mandatory compliance procedures as it relates to recruitment; hires, promotions and terminations.

•    Assigns yearly AAP Tasks; creates Calendar of Events EEO Coordinators and Talent Acquisition teams to maintain on-going compliance in preparation of an audit, i.e., ensure data is correctly maintained in the system regarding applicants; hires; promotions and terminations, etc. and that good faith efforts; Outreach; State Agencies Reasonable Accommodations; Federal and State Postings as well as required Bulletin board postings are implemented/maintained as required.

Immigration/Mobility

•    Manages all aspects of the Immigration Process for the Organization including on-site visits from the Department of Homeland Security; obtains visas, manages and directs U.S. Green Cards/PERM Recruitment providing guidance to management, HRBPs and Talent Acquisition; and is the partner to outside Immigration Counsel on all matters.

•    Partner with Compensation team on Global Mobility Program matters; ensures current program aligns with the goals of the organization; is competitive within the industry as well as to ensure adherence to the Global Mobility Program key processes and procedures for Global Inter-Company transfers.

•    Manages 3rd Party Relocation and Mobility Service Providers as well as Tax Advisors assigned by the Company. 

•    Oversees all aspects of the assignment initiations; reviews mobility cost estimates to ensure alignment with policy as well prepares all assignment letters and transfers letters.

Records Information Management

•    Partner with HR Policy leader to develop and implement policy and program guidance, records retention schedules, and procedures for HR records management.
•    Builds collaborative relationships with designated HRBPs and appropriate stakeholders to increase compliance with records management expectations.
•    Oversee personnel file management, including regular auditing and reporting.
•    Support the development and maintenance of Records and Information Management compliance standards.
•    Serve as a point of contact for Records and Information Management matters.
•    Facilitate information destruction processes and promote a culture of information handling.

Oversee audit and operational support for information handling activities, including records storage, data mapping, and compliance assessments.

MINIMUM WORK EXPERIENCE: 

Typically 6 to 8 or more years of increasing responsibility in terms of any applicable professional experience.

PREFERRED EDUCATION: 

Typically a Bachelor's Degree or global equivalent in related discipline. Master's degree or global equivalent a plus. May hold one or more industry certifications.

TRAVEL / PHYSICAL DEMANDS:

Travel typically less than 10%. Office environment. No special physical demands required.

To the extent this job is performed in NYC, the salary range for the position of Associate Manager, HR Compliance is $98,414 to $135,320. Many factors go into determining employee pay within the range including prior experience, current skills, location/labor market, internal equity, etc.
