Associate Relations Supervisor
Job Description Job Summary Responsible for all facilities of Associate Accommodation, ensuring that establishment is run efficiently, that standards of cleanliness and maintenance are upheld (in rooms, bathrooms, public areas), that budget is controlled. Maintains a service and management philosophy, which serves as a guide to all associates.
Essential Duties and Responsibilities:
Accommodation / Administration• Maintains complete knowledge of and comply with all Rosewood policies, service procedures and standards.• Ensure that accommodation is clean, well maintained and attractively presented.• Ensures proper maintenance and orderliness of the Accommodation, including proper arrangement of the monthly stationary stock regularly.• Plan the availability of accommodation for associates, based on nationality, gender, position, and arrival date and coordinate the allocation of accommodation, alongside Admin Assistant.• Liaise with Hotel departments and external vendors to arrange laundry and linen supplies, repairs and maintenance, pest control and waste management.• Conduct regular inspections to ensure that all aspects of the accommodation meet hygiene and health and safety regulations.• Maintain a safe environment, keep the peace, and act on any actual or potential violations of policies or law. Provide feedback to Talent & Culture on accommodation incidents; handle disciplinary problems and counsel associates.• Ensure apartment representative meeting is coordinated each month and meeting minutes presented to the Associate Relations Manager and Senior Talent & Culture Manager, in absence of Admin Assistant.• Maintain the department’s filing system, ensuring annual and monthly audits take place.• To assist in carrying out monthly, quarterly, bi-yearly, yearly inventory of operating equipment and assets.• Carry out show rounds of the Accommodation when required.• Participate in Career Fairs and College/University open days as requested to represent opportunities within Rosewood Doha and Rosewood Hotels.• All other duties as required. May be involved in some practical or hands-on work, while primary role is mainly supervisory.
Employee Relations• Greets all individuals arriving at the office and assists with their needs. Listen to associates that may need to discuss personal issues, ensure confidentiality is maintained at all times and the Senior Talent & Culture Manager and Associate Relations Manager is kept informed.• Coordinate and support in the planning and execution of Accommodation and T&C events / projects, activities and ensuring associates welfare is maintained as required.• Coordinates and requests meals / refreshments (BEO) for Accommodation events, activities and meetings and related T&C events, where applicable.• Assist and prepare all new joiner & leaver inventory paperwork and ensure to complete on time.• Make sure to have an accommodation welcome kit prepared on time.• Encourage, motivate and support all associates with whom you work.• Ensure confidentiality is maintained at all times in line with the Data Protection Act.• Ensure that accommodation rules are adhered to by all associates.• Assist in the training and development of associates as required.• Attend all training courses as and when required.• Manage the flexible working process ensuring associates and managers are aware of the rights and legislation.• Provide support to the Talent & Culture Team and get familiar with all government mandatory processes.
