Overview JOB SUMMARY: As an Abbey Resort employee and part of the Benchmark company family you will have the opportunity to be part of an incredible team at in all service resort situated on the beautiful shores of Geneva Lake. A Spa Receptionist at the Abbey Resort is an individual that with their smile, friendly personality and knowledge will be able to take care of every single guest that calls or walks in. He or she is responsible for checking guests in and out of the Spa, booking appointments, and take payments all while maintaining a professional and calm atmosphere. They must be able keep the desk area organized and always look well groomed. The ideal candidate is someone energetic, a team member who ready to give great service and someone with a positive Abbey attitude. BASIC FUNCTION: Spa Receptionists are the first face a guest sees when they walk into the spa and the last interaction they have when they walk out. They must be attentive to guest needs. QUALIFICATIONS: EDUCATION, KNOWLEDGE, TRAINING, & WORK EXPERIENCE Ability to work in a fast-paced environment Previous experience in customer service preferred Must have strong interpersonal skills. Be able to stand for up to 8 hours, Computer skills: word and Microsoft outlook knowledge, Spa or reservation software basic knowledge encouraged. Proper phone etiquette. Typing minimum of 25 wpm. Basic mathematical skills for money handling. Qualifications ESSENTIAL FUNCTIONS: Clerical Duties: Stock spa brochures, make copies of necessary forms, replenish office supplies (i.e. paper clips, staples, paper, pens, pencils, etc.), file daily print outs of schedules, run daily revenue report and money drop, gift certificate forms, check and document voicemail, answer phones, explain services and spa practices, and book appointments for guests. Check-In Guests: Stand when guests enter room; Greet guests enthusiastically and with a smile; provide guests with their itinerary and instructions. Keep front desk clean and orderly. Check-Out Guest: Ask guests how their service/experience was. Repeat to the guests their services and charges. Ask if they would like to add a gratuity. Thank them for choosing the Avani Spa. Opening Duties: Unlock all doors to spa. Turn on lights to pool area. Turn on switch to juice bar area. Turn on all sauna, steam and inhalation rooms. Turn on fireplaces, treadmills and TV’s. Turn on computers in back of front desk. Check binder and clipboard for important information regarding front desk. Turn on lights to front desk and open salon and boutique doors. Print out therapists’ reports (Provide report to therapists upon arrival). Organize desk as necessary and check for items that need to be stocked. Night Shift Duties: Forward phones. Run night Reports (Print out User Analysis, Print out Daily Transaction Report, Point of Sale – User Cash Out, Check for open receipts). Put reports in appropriate folder date and night audit basket located in front desk of hotel. Turn off computers and lights. Turn off fireplaces. Turn off treadmills and TV’s in fitness area. Turn off all saunas, steam and inhalation rooms. Turn off and clean juice bar area. Turn off all lights and lock all appropriate doors to spa. Boutique: Assist guests with any questions regarding all products. Stock and dust shelves. Post all sales and fill out receipt if commission on retail products is owed to a therapist. Customer Service: Assist guests in any way possible. Provide enthusiasm, empathy and over all warm hospitality for all guests (i.e. asks guests if they have questions, if there is anything you can get for them, etc.). Assist other associates (i.e. ask if there is any way you can help). MARGINAL FUNCTIONS: Required to perform other tasks and duties as assigned. Scheduled hours may vary on business needs and may or may not include holidays, weekends, various shifts, overtime or reduced hours. Work cooperatively with other departments Perform special task as requested by the Director of the Spa, Manager and supervisor Maintain the cleanliness and neatness of facility daily Maintain a professional appearance in all areas of the hotel.
