Position: Aviation Crew Support CoordinatorReports to: Senior Manager, Aviation LogisticsUtilizing deep knowledge of aviation and internal processes, the Aviation Crew Support Coordinator will play a key role in our world-class 24/7 Transplant Logistics Command Center in Andover, MA by leveraging an in-depth understanding of aviation operations and internal processes to ensure smooth and efficient logistics for all crew members. They will be responsible for organizing essential travel arrangements, including hotel accommodations, transportation, and flight itineraries, with a focus on fatigue mitigation and operational efficiency.By managing these logistics seamlessly, the Crew Support Coordinator will directly contribute to the well-being of our crew, ensuring they are well-rested and prepared to deliver exceptional performance during our critical missions.”
The Aviation Crew Support Coordinator works on-site for 12 hour shifts, 4 days on, 3 days off and works closely with our Scheduling and Dispatch Teams in a fast paced and demanding environment to complete crew movements. Candidates for this role must provide exceptional customer service to crew members and other internal customers within the organization.
ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:
• Arrange all accommodations for pilots/crew from their starting point throughout their scheduled work time, to and from destinations and return home
• Book and confirm commercial airline and rental car reservations for crew members.
• Field phone calls from crew members to answer questions and provide appropriate resolutions as required.
• Crew support for any request/assistance needed by crew on rotation.
• Assist with crew call outs and putting crew on/off duty times.
• Maintain reservations and crew details including airline ticket credits to be used on future flights.
• Assist schedulers as needed for flight planning/coordinating aircraft accommodations, (Hangar space, late arrivals, etc.)
• Work with Finance team to resolve any airline, hotel, or ground transportation issue.
• Submit expense reports and resolve any discrepancies.
• Ensure compliance with all company policies and safety standards, including complete knowledge of Part 135 regulations.
• Special projects and duties as assigned by department supervisors.
• Performs other TransMedics tasks and duties as needed
BACKGROUND AND QUALIFICATIONS:
• Prior experience in aviation, crew management, or customer service required.
• Must be able to work well in a fast-paced environment and be flexible to the changing needs of the business.
• Working knowledge of all related FAA regulations.
• Must be able to multitask.
• Strong communication and interpersonal skills.
• Must be detail oriented and able to work productively independently or within a team.
• Demonstrate a high level of professionalism and the ability to interact with all levels of leadership.
• Proficiency in using industry-specific software and tools with the aptitude to learn new software.
• 365/24/7 operation - must be flexible and willing to work nights, weekends and holidays as required.
EDUCATION: High School Diploma, Associate’s degree preferred
