Job Overview:
The Banking & Treasury Manager provides leadership and oversees the Client Accounting banking-specific functions to add value and improve the Company's operations and efficiencies. Responsible for ensuring accuracy in banking transactions and implementing efficiencies in daily processes. Will also act as company administrator responsible for ensuring for banking products and as such will need an understanding of roles of various internal clients and ensure internal controls are upheld. Will collaborate with team members, evaluating complex banking issues and recommending solutions to guide future organizational decisions and ensure alignment with business objectives.
Your Responsibilities:
Assign and oversee job duties and supervise the day-to-day responsibilities for the Banking & Financial Records Coordinators and ACH Coordinator. Oversee and ensure accurate processing of all items related to monthly homeowner ACH debit. Final review and transmission of ACH files prepared by ACH Coordinator. Address and resolve elevated homeowner issues relating to ACH processing. Oversee staff to ensure ACH transactions are being conducted in accordance with Auto Pay Agreement. Ensure accurate and efficient processing by those in cash handling positions. Ensure appropriate audit processes are in place and correction of deposit errors. Responsible for researching, managing and resolving rejected lockbox items. Develop and deliver timely reporting and capture remote deposit processing. Manage transactions conducted by those in Banking & Financial Records Coordinator positions. Review and approval of electronic banking submitted by Banking & Financial Records Coordinators. Liaison with banking partners, FirstService Financial investment manager, and internal clients. Review of completed bank signature cards. Responsible for overseeing and administering web banking products for: Onsite credit card processing for client receipts. Online bank access for FirstService associates and HOA board members as requested. Associate purchase credit card program. Develop and maintain policies and procedures including but not limited to: Overseeing development of processes and company policies to ensure transactions are processed accurately and timely. Maintaining appropriate supervisory reviews and reconciliations as part of day-to-day transactions such as systems postings of charges and payments. Responsible for seamless implementation of banking-related initiatives. Oversee the audit and tax process & records keeping. Ensure that all documents are properly tracked by Banking & Financial Records Coordinators and distributed & archived appropriately. Work as necessary to ensure that bank statements are easily retrievable. In depth knowledge of accounting system (CAM Accounting), Connect and other proprietary tools. Knowledge of lockbox processing procedures Attend to client facing matters as necessary. Resolve escalated issues from homeowners or internal customers. Collaborate with other accounting departments to provide appropriate support. Support client service standards. Lead and develop a team to ensure client deliveries are completed in a timely and accurate manner. Maintain staffing coverage and related contingencies to ensure on-time delivery of services. Review department work product as appropriate. Regular meetings with individual associates as well as team meetings to ensure progress towards goals and development. Model FirstService Residential's leadership principles in every aspect of the job. Promotes excellence in others by meeting company standards of quality. Takes full responsibility for all aspects of FirstService Residential's service. Ensure associate work processes, roles/responsibilities, habits, and payroll processes are executed according to FirstService Residential policies and applicable wage and hour laws; review and approve payroll with strict adherence to deadlines for area of responsibility.
Skills and Qualifications:
4 to 7 years of experience in a banking environment preferred, with a strong understanding of financial operations and banking systems. Proven experience in developing and leading high-performance teams, driving team success and ensuring consistent achievement of goals. Experience in high-volume transaction processing, ensuring efficiency and accuracy in fast-paced environments. Fluent in English with strong verbal and written communication skills, enabling clear interaction with the public, colleagues, and supervisors. Ability to prepare accurate reports and maintain clear, organized records. Strong math skills with the ability to effectively analyze and interpret data. Capable of identifying issues and taking appropriate actions to resolve problems using good judgment and critical thinking. Demonstrated decision-making skills, showing sound judgment in various situations.Able to work independently with minimal supervision while collaborating effectively as part of a team. Experience in managing pressure and meeting deadlines, with the ability to prioritize tasks and manage time effectively. In-depth knowledge of electronic banking and credit card processing, along with advanced proficiency in Microsoft Office, particularly Excel.
Education and Experience:
Bachelor degree or equivalent experience required. College degree in Accounting preferred. Previous experience in Back Office Operations at a Financial Institution, Accounting, Accounts Payable, and/or HOA Management Company preferred.
Physical Requirements:
Performance of duties may require employees to be both inside and outside. Inside temperature will be controlled and the use of fluorescent lighting will exist. Outside may require employees to be exposed to the elements, which may include wind, rain, cold, and extreme heat. Professional indoor office environment. Full-time position. Typical schedule, Monday through Friday, 8:00 a.m. – 5:00 p.m., unless otherwise specified. The schedule is subject to change based on business needs. Consistent and regular attendance is required.
