Benefits Administrator - EMEA

We’re looking for a Benefits Administrator to manage and support employee benefits across EMEA, with a focus on Poland and nearby countries. This role ensures smooth, compliant benefit delivery, clear communication, and a positive employee experience, while contributing tcontributing to regional harmonization and mergers & acquisition projects.

 

What You’ll Bring:

2+ years of experience in benefits administration or HR operations in an international or regional capacity. Solid understanding of benefits practices in Poland (e.g., healthcare, PPK, statutory leave); experience in broader EMEA markets is highly valued. Familiarity with HRIS systems (e.g., Oracle, Workday) and experience managing benefit data and workflows. Strong Microsoft Office skills, particularly Excel (e.g., using VLOOKUPs, pivot tables for data validation). Excellent written and verbal communication skills in English. Strong analytical, problem-solving, and process-thinking skills. Ability to work independently, prioritize work, and manage deliverables across multiple stakeholders and time zones.

This is a hybrid role, requiring a minimum of two days per week onsite at our Krakow office.

Core Responsibilities:

Regional Program Administration & Support

Coordinate and manage employee benefits across EMEA (e.g., medical, life, disability, pensions, wellness, leave). Handle benefit-related onboarding/offboarding tasks and communications. Support implementation and maintainance of benefits platforms and enrollment tools. Support employees with benefit inquiries and update related documentation. Support benefits-related projects such as regional plan harmonization, new benefit launches, or digital tool implementations.

Compliance & Process Excellence

Ensure compliance with local laws (e.g., GDPR, PIP, PPK, labor codes) and stay updated on regulatory changes. Work with legal and compliance teams on audits, reporting, and regulatory interpretation.

Vendor & Stakeholder Coordination

Serve as a point of contact for third-party vendors, brokers, and consultants. Coordinate with Payroll on deductions and invoice reconciliation. Collaborate with HR, Finance, and Global Benefits for regional consistency. Review and process vendor invoices accurately and on time.
