Overview The Bid Clerk is responsible for providing administrative support to the estimating department, primarily under the direction of the Estimating Department Manager. Position skills include: a high level of motivation and commitment to the organization, the ability to work independently and interact with other departments, a strong analytical capacity, and the ability to maintain confidentiality about all information and documentation. Responsibilities Controls all incoming/outgoing correspondence. Search bid solicitation websites to identify projects to bid. Order bidding documents and coordinate documents on company network. Assist management to coordinate insurance and bond requirements. Send invitations to bid to subcontractors and suppliers. Receive and coordinate subcontractor and supplier proposals. Assist project management with preparing and issuing subcontracts and purchase orders. Assist project management with processing of shop drawings. Answers phone calls & takes messages. Answer routine questions and/or follow through on routine requests. Responsible for compiling and updating all information for the Procedures Manual. Updates all databases with subcontractors and maintain communication with each as necessary. Organization of documents to facilitate prompt retrieval & enable the presentation of Contract Compliance issues. Maintains filing system for Contractor Compliance and/or Affiliates. Miscellaneous support to project/department staff as required, additional assignments per Supervisor’s direction. Qualifications Qualifications Associate in Arts (AA) or Associate in Science (AS) degree. Possess good organization skills and strong verbal and written communication skills. Learn quickly and develop new skills. Must be proficiency using a personal computer, and Microsoft Software (Excel, Word, Power point, Outlook). Possess great focus to meet and exceed company requirements and expectations. Possess high work values, integrity, and ethical standards. Preferable, past working experience with Construction General Contractor company.
