Job Summary
Assist Supervisor in preparation of Bids and Request for Proposals (RFPs) submittals by deadlines. Compile various bid and contract related tracking reports and correspondence. Perform in a fast-paced, proactive, exciting atmosphere.Essential Duties and Responsibilities
Research, prepare and assist in bid/quote submittals before published deadlines including, but not limited to the following: Search emails and internet search engines to locate bid opportunities and bid updates. Catalogue new bid/quote opportunities in Outlook Calendars, CRM System, Bid Reports and distribute information to appropriate personnel. Assist with research and various stages of bid preparation. Complete and send all bid signature pages, to be included in bid documents, to CFO or appropriate Wastequip personnel for ink signature. Monitor signature status to ensure receipt prior to bid submittal. Monitor for any Fed Ex delivery delays. Complete bid response information into bid documents and compile response information to be submitted by deadline. Provide and maintain necessary bid submission and support materials (i.e. Wastequip brochures, standard insurance forms, W-9 forms, etc.) for proposals. Proofread documents and bid responses after Manager/Supervisor has completed to double check accuracy. Fed Ex/email/enter online bid packages to entities with daily follow up to ensure delivery by bid opening day. Copy/scan/file/log final bid/quote information in Public Drives, CRM System and specific reports. Prepare and submit “No Bid” responses as necessary. Continually maintain Bid Reports, including but not limited to: Bid Summary Reports. Contract Purchase Order Reports. Contract Folders. Maintain Outlook bid calendar to ensure that bid deadlines are updated. Schedule and assist with contract reviews. Maintain municipal and customer files. Maintain and update customer reference lists. Complete and submit local vendor registration forms. Maintain and update vendor registration database for government entities. Additional tasks and projects as required. Interchangeability of above tasks may also be required by Supervisor.Qualifications
Proficient in Microsoft Office (Word, Excel, Outlook, Teams, minimal PowerPoint), Adobe DC Pro, internet navigation/maneuverability. Able to operate general office machines and equipment, such as copier/printer/scanner, laminators, comb binding, phones. Will need to learn Salesforce/Lightning (prior experience helpful, but not required).
Education and Experience
High School Diploma Required.

Enthusiasm for challenging responsibilities in a fast-paced, changing environment and projects. Flexibility to track/manage/prioritize detailed tasks and stages of multiple projects at once with multiple immoveable deadlines. Extensive organization, attention to detail, and time management skills. High standard for accuracy. Systemize to prevent errors and omissions. Must be neat and efficient. Proactive and practical approach to problem-solving. Able to job share and communicate closely with Supervisor (and others as required). Excellent communication skills with precise documentation and tracking contacts (intercompany/internals, Sales staff, customers/municipalities, externals). Previous bids/contract experience helpful.
