Essential Functions of the Job:
1. Provide administrative support to Representative and other CA office members.
2. Travel arrangements (transportation, accommodation) of Representative and other Headquarters hired staffs of CA office.
3. Handle messages, mails in and out, answer and screen telephone calls.
4. Plan and coordinate meetings including meals and restaurant bookings.
5. Prepare, assemble and distribute documents for meetings and presentations.
6. Plan special events of company as requested.
7. Administer necessary filing and records for the company.
8. Prepare and process expense report (for Representative)
9. Maintain calendar for Representative (and others as requested)
10. Email and business correspondence in both English and Japanese.
11. Provide translation services (English to Japanese and Japanese to English)
12. Communicate with appropriate departments (including Tokyo) and human resources execute and/or coordinate CA office activities
13. Handle sensitive and confidential information
14. Coordinate and accommodate visitors
15. Maintains office supplies, order items when needed, keep records of inventory.
16. Interacting with all staff members regarding service, supplies and incoming/outgoing correspondence
17. News clip and assemble/prepare necessary market data in relation to company business on a periodical basis (US economy general data, Multifamily and other properties)
18. Other duties as assigned
Minimum Qualifications:
1. Strong communication skills
2. Bilingual in English and Japanese with strong verbal and written communication skills
3. Significate experience as administrative assistant and interpreter
4. Advanced proficiency with Microsoft Office (Excel, Outlook, Word, PowerPoint)
5. Knowledge of document processing, files and records management, and designing forms
6. Knowledge of principles and processes for providing department support including meeting quality standards for all reports and correspondences
7. Ability to maintain discretion and confidentiality
8. Superior analytical, interpersonal, organizational and time management skills
9. Must be able to consistently achieve high work standard
10. Must demonstrate flexibility and adaptability to rapid change
11. Acute attention to detail
Education and Experience:
1. Minimum 3 years’ experience working with senior level management and administrative assistant of company.
2. Bachelors’ degree preferred
3. Knowledge in startup company is a plus.
