SUMMARY

The MAC Coordinator, as a part of the Workplace Solutions (On Demand/Client Services) team, is responsible for supporting the planning and delivering of tenant improvements and/or facility moves, adds, or change (MAC) projects. On Demand MAC team members often support requests that are above regular MAC (Client Services) account thresholds.  Works with internal BGIS staff, client, and external vendors as required, to ensure timely, successful implementation of larger MAC requests. What drives the success in this role, is your understanding of furniture systems, interiors, materials, and finishes as well as your knowledge of project management practices, schedules and budgets. Being customer focused is critical.  As staff gain more experience and their level of communication around projects increases, they will be expected to facilitate discussions with the client based on their knowledge of furniture systems, etc.

KEY DUTIES & RESPONSIBILITIES

Engages and communicates with clients with a focus on professionalism, urgency and transparency Delivers on non-technical projects (i.e. furniture installation, furniture reconfiguration, office space construction, office painting and re-carpeting, etc.) Liaise with senior team members to understand project requirements, and provides support as required Researches and liaises with vendors to obtain quotes Prepares documentation for purchase orders to be issued as required Monitors work progress of vendors to ensure project completion, and verifies all work orders and purchase orders are closed Supports preparation of move packages and furniture tagging Develops and maintains effective relationships with clients. Ensures assigned projects are delivered on-time, within scope, budget and requirements, and complies with all regulatory, environmental, health and safety requirements. Incorporates sustainable practices, where practical, into MAC delivery, in accordance with BGIS processes. Other duties as assigned

EDUCATION, JOB-RELATED YEARS OF EXPERIENCE & QUALIFICATIONS

MINIMUM EDUCATION: College diploma or equivalent training (e.g. RPA, CET)

JOB-RELATED EXPERIENCE: 1-3 years or more

KNOWLEDGE AND SKILLS

Minimum 1-3 years supporting the planning and delivering of facility moves, adds or change (MAC) projects, or project administration/coordination work experience. College Diploma or equivalent training RPA, CET would be considered an asset. Proficient in MS Excel, Word, and Outlook BGIS’ proprietary software, Real Suite experience is ideal Ability to learn and use new technology (tools and applications) Ability to work independently to deliver non-technical projects according to requirements, on-time and within budget Working knowledge of various furniture systems, interiors, materials, and finishes as well as knowledge of project management, move management, construction and scheduling Self-starter with strong organizational skills as well as ability to manage multiple assignments simultaneously Ability to prepare accurate costs estimates and project activity timing Strong customer service / management skills Strong analytical, problem solving and conflict management skills Strong interpersonal skills. Ability to influence others to ensure timely and quality completion of projects Excellent verbal and written communication skills, including report writing skills and client communication Ability to work overtime, nights and weekends, as required Ability to travel both locally and nationally Access to a vehicle is required

Licenses and/or Professional Accreditation

Valid Driver’s License Project Management Institution Accreditation (or interest pursing) considered an asset
