Summary

The Project Assistant (PA) is responsible for assisting Project Managers (PM) in coordinating submissions, supplier compliance, monitoring of commitments at budget and project level, management and monitoring paying supplier invoices, maintaining data integrity in the project management system, providing project status updates and completing project activities.

This is a union position under UNIFOR.

Principal Duties & Responsibilities 

Administrative tasks

Prepares and issues purchase and change orders

Support the PMs in the budget approval and all other financial processes

Liaise with stakeholders (PMs, suppliers, customers)

Suggest process improvements

Develop and generate the required reports (both generated via PMWeb and with Excel)

Proactively analyze data to identify discrepancies in data quality

Assist in the development of training materials

KNOWLEDGE AND SKILLS

Bilingualism preferred (French is essential) Microsoft Office Skills – Highly proficient in Excel in particular (including vLookup, pivot tables, etc) Knowledge of project management or manufacturing management (ERP) systems Advanced organizational and planning skills Excellent Data Analytical skills Solid communication skills – verbal and written Experience in task coordination is considered an asset
