Role description:

The main responsibility of a Billing Specialist is to accurately prepare and submit client invoices in accordance with contract terms and to meet corporate mailing deadlines. Invoices are submitted to our clients by mail, e-mail or client portal site.  Additionally, the Billing Specialist is responsible for reviewing and submitting Oracle contracts within the accounting system and verify the data is in compliance with the contract billing terms.  Billing Specialists are the first line of communication with Project Managers and other members of the project team.

The Billing Specialist reports directly to the Billing Manager. With no initial direct reports

Role accountabilities:

The main responsibilities of this role include, but are not limited to:

Work closely with Operations to prepare and send client invoices. This includes any special invoice documentation or backup as required within the client contract. Billing Specialist handle our more complex client invoicing.  For client requiring multiple billers the Billing Specialist are given lead billing responsibilities. Example: Update client rate table, client team calls and billing contact for the client team. Assist Project teams with the Oracle costing screen. Deliver courteous, prompt, respectful and value-added customer service to internal and external clients. Monitor and manage invoices for your assigned workload on the Invoice status report. Attach final invoice packages on the AR line in Oracle. Verify receipt of contracts in Contacts Storage System (CLS) and record if the status should be classified as interim or final. Add contract specific invoicing requirements to the Deliverables tab in Oracle. Interface with Cash Receipts and Accounts Payable departments, as needed. Monitor validation reports for project set up issues and make necessary adjustments weekly. Revenue recognition comprehension and adjustments. Seek creative ways to assist Operations that are not meeting mailing deadlines. Complete monthly task checklist. Work in Kofax or Adobe PDF to organize and tie out backup. Work well under pressure, must be able to adhere to strict Finance/Client deadlines. Assist with FRC - Internal Audit and client Audit requests, as needed.
 

Qualifications & Experience:

Required Qualifications: 

Strong organizational skills. Strong written and verbal communication skills.  Proficient in Excel and Word.  Able to work independently, as well as in a team setting.  Should have a high level of energy and a can-do attitude. Self-motivated.  High sense of urgency and ability to meet deadlines. Excellent accuracy and attention to detail are critical skills.  Ability to multi-task, work well under pressure, be flexible, and prioritize

The salary range for this position is CAD $56,000-70,000. The base salary represents Arcadis’ hiring range for this position. Actual salaries will vary and will be based on various factors, such as location, skills, experience, and qualification for the role.
