Job Description

We are seeking an experienced Billing Specialist to join our team. The ideal candidate will be responsible for managing credit card processing, customer invoicing, remittance processing, and sales tax adjustments. This role requires attention to detail, strong organizational skills, and the ability to work in a dynamic environment.

ResponsibilitiesEnter, void, and reconcile internet orders in Converge, ensuring amounts match in Excel before settling payments.Process and settle credit card batches (Visa, Mastercard, Discover, Amex).Ensure clean tracking and categorization of virtual card and credit card remittances for smooth reconciliation.Monitor declined payments and flag unresolved transactions within two weeks.Invoice shipments, ensuring all necessary invoices are prepared for credit card processing.Submit invoices across multiple customer portals, including Ariba, Coupa, France, IDS (Invoice Delivery Services), IPP (Government), Jaeggaer, Kaust, Taulia, Transcaepta, University of Gothenburg (Sweden).Support documentation for future automation efforts in invoicing and portal submissions.Process virtual card and credit card remittances with proper tracking and categorization.Send out itemized paid invoices for customer requests via the remittances mailbox.Dedicate two hours daily to sending out ACH remittance details to customers.Make sales tax adjustments based on daily sales tax emails.Ensure exemption certificates and minor invoice adjustments are processed correctly.Essential SkillsInvoicingInvoice processingAccounts ReceivableBillingExcelAdditional Skills & QualificationsAssociate's degree2+ years of experience with accounts receivable and billing invoicing (1,000+ invoices per week)2+ years of experience with an accounting ERP (such as Deacon, QuickBooks, SAP, Oracle, JDE, NetSuite or similar)2+ years of experience with credit card processing and remittance processing2+ years of experience with sorting and filtering functions within Microsoft ExcelWork Environment

This role will be 5 days onsite in Hatfield, PA. The Billing Specialist will work on an accounting team of 4.

Pay and Benefits

The pay range for this position is $24.00 - $26.00/hr.
