What’s The Role:The Environment team’s International Climate & Environment Programme is seeking a new Administrative Assistant. You will ensure that the Environment team is operating at the highest level, through enabling accurate information sharing, strong organizational skills, smooth workflow and follow-through. You will have a passion for environmental issues, interest in philanthropy and a commitment to the Bloomberg Philanthropies vision of creating better, longer lives for the greatest number of people. You are a team player who can manage multiple priorities, work with many stakeholders, and thrive in a fast-paced, results-driven environment.
This position is based in Singapore and reports directly to the Asia-Pacific Lead of the International Environment and Climate Programme and will also provide administrative and operational support to the regional lead in Europe. As an integral part of the International Environment and Climate Programme Team, this role is required to work across time zones and geographies.
We’ll Trust You To:Provide day-to-day administrative support to the International Climate & Environment Team Leads in Asia and Europe to ensure efficient operation of the team, to provide strong organizational and administrative support for specific projects, meetings, events, and other programmatic initiatives. Handle day-to-day calendar, including scheduling appointments, arranging meetings, anticipating needs and changing/rearranging meetings as appropriate. Ensure the team is prepared for meetings with supporting documentation and information. Support meeting preparations, briefings, background materials, and taking notes Support the programme manager to plan and prioritize weekly tasks and deliverablesTrack tasks, meetings and events, and support follow-up actions, to ensure team projects are on schedule and deadlines are metField inquiries to appropriate team members, respond to employee and outside inquiries, and ensure timely response to urgent issues Coordinate travel arrangements, including flights, ground transportation, hotels, and travel expense reports, etc. Coordinate with International Environment and Climate Programme Operations Lead to manage team reporting on monthly metrics, progress reports, briefings and other projects relating to the programme’s various initiativesSupport Environment Team events, including compiling invite lists, drafting correspondence, tracking attendance, and providing day-of assistance
You’ll Need To Have:Bachelor’s degree or degree-equivalent qualificationsFluency in both written and spoken EnglishA minimum of 5 years of administrative assistant experience in a fast-paced, high-performance work environment with a global organizationDemonstrated experience in managing/coordinating simultaneous projects with APAC regional or global teams Experience working in energy transition and sustainability and/or international affairsAdept at working flexibly across different time zones and geographiesExcellent attention to detail and impeccable accuracy Excellent organizational and time management skillsAbility to respond to priorities and resourcing needs as they shift over the lifecycle of projects and programmesOutstanding interpersonal and communication skills and the demonstrated ability to effectively interface with senior level colleagues, both verbally and in writing Resourceful, motivated, efficient, pro-active, and customer service oriented Ability to protect confidential and sensitive information of the organization Ability to perform and adapt under pressure Discretion and proven ability to deal with VIPs Strong overall computer skills, proficient in MS Suite specifically Outlook, Word, Excel, and PowerPoint; Experience with a Bloomberg Terminal is a plus Demonstrated continuous career growth within an organisation
