The American Express Co., Ltd (AEJ) Board Operation Specialist provides comprehensive operational and administrative supports to board meetings and tax-related responsibilities, including corporate tax failings and liaison with tax authorities. This role ensures efficient meeting operations and compliance with governance and tax obligations, supporting board directors with critical logistics and documentation. 

Job Responsibilities:

Coordinate all aspects of board meetings, including scheduling, agenda preparation, and distributing meeting materials Draft, edit, and maintain official minutes for board meetings, ensuring accurate records Oversee secure storage and management of board documents and records Ensure compliance with corporate governance policies and provides guidance on board protocols Handle corporate tax filings and support all interactions with tax authorities, acting as the liaison for inquiries and submissions Assist directors by providing relevant information and support on board and tax-related matters Provide general administrative work, including accounting and payment operations

Qualifications

Previous experience in administrative roles, ideally supporting senior management or board directors Proven track record in preparing for organizing meetings, including scheduling, agenda management, and minutes taking Excellent communication and interpersonal skills for effective engagement with board members and cross-functional teams, in both verbal and written in Japanese and English. Japanese – native level, English – business level Familiarity with tax-related administrative tasks, including preparation, processing and basic accounting reporting Banking experience is a plus, especially in roles involving financial documentation or payment processing Proficiency in MS Office; Word, Excel, and Power Point Strong ethical standards and a commitment to confidentiality
