Overview
Gray is seeking a Brand & Design Coordinator to complement its Marketing team of professionals. As a Brand & Design Coordinator, you’ll play a pivotal role in ensuring the success and efficiency of our creative initiatives. The Brand & Design Coordinator supports the Brand & Design team by managing creative assets, coordinating production efforts, and streamlining administrative processes. This position combines organizational expertise with foundational design and software knowledge to ensure the efficient execution of creative initiatives.
What we expect… (Essential Functions)
Asset Management:Organize and manage company photography and video assets, ensuring files are stored, labeled, and easily accessible.Maintain an organized archive of creative files, including logos, templates, and past project deliverables.Serve as the point of contact for the Digital Asset Management (DAM) system and assist team members with access and navigation.Creative Scheduling and Coordination:Schedule and coordinate creative production efforts, such as photoshoots and video shoots.Collaborate with designers and external vendors to ensure timelines, deliverables, and quality standards are met.Support pre-production efforts by gathering requirements, preparing shot lists, and ensuring team alignment.Print Production Coordination:Coordinate with external vendors to produce high-quality print materials designed by the team.Review proofs and samples to ensure accuracy before final production.Task Management:Manage the team's Asana board, ensuring tasks are correctly assigned and deadlines are tracked.Regularly update project statuses and communicate progress with the team.Office Programming Support:Assist with implementing office branding initiatives and ensuring alignment with company standards by coordinating with internal teams and vendors to order branded office items, such as signage and artwork.Administrative Support:Provide general administrative support to the Brand & Design team, assisting with scheduling, correspondence, and meeting coordination.Support team initiatives by handling operational tasks to streamline processes.Location:
This hybrid role can be based at our headquarters in Lexington KY or our Charlotte NC regional office. Estimated 10% travel required.
Who we want… (Requirements)
Education and Experience:Bachelor’s degree in Graphic Design, Marketing, Communications, or a related field, or equivalent experience.1–2 years of experience in a coordination, administrative, or design-related role.Skills:Basic understanding of Adobe Creative Suite (Photoshop, Illustrator, InDesign).Basic understanding of file management systems.Excellent communication and organizational skills, with the ability to manage multiple tasks simultaneously.Familiarity with creative production processes (e.g., photoshoots, print production) is a plus.Proficiency in organizational tools such as Asana, Trello, or similar project management platforms preferred, but not requiredAttributes:Highly detail-oriented and proactive in identifying and solving problems.Comfortable working in a fast-paced environment and adapting to shifting priorities.Strong collaboration skills, with the ability to work effectively across teams and with external partners.The new team member should be an energetic, self-motivated individual who enjoys a team environment, as well as a passion for collaboration and professional development.
