Job DescriptionThe purpose of the Building Supervisor - Facilities is to oversee the efficient operation, maintenance, and management of building facilities for Pricing, Product and Technology Development (PPTD) at their Maidenhead site to provide a safe and productive working environment.
The Building Supervisor will have some responsibilities related to safety, health, and environmental compliance and will work closely with Building Supervisor SHE to address safety and environmental issues but primarily will be responsible for ensuring that the Maidenhead facilities are well-maintained, operational, and meet the needs of the business and its occupants.
This role is a fixed term contract for 12 months.
Facilities Management:
Develop, document, and maintain facilities management processes, procedures, and controls. Develop and implement a facilities management strategy and program, including refurbishments, life-cycle planning, and preventative maintenance regimes. Develop and implement a facility operating model, including the planning and management of central services, such as reception, security (including diamond control), cleaning, catering, waste management and parking. Manage facility space for maximum efficiency, including the allocation of lab, office and storage spaces and the coordination of intra-office moves. Manage and develop maintenance programs and oversee facility refurbishments and renovations – from formulation, through scoping, tendering and ultimately implementation. Conduct and document regular inspections of building systems, equipment, and common areas to identify maintenance needs and ensure compliance with safety and regulatory standards. Responsible for maintaining site specific Diamond Control Processes and Procedures in accordance with De Beers Group Security Standards and Instructions.Support and enable change management processes for facilities related operations.Financial and Vendor Management:
Prepare and monitor facilities budgets in accordance with Group reporting requirements, track budget variances, and identify opportunities for cost savings and efficiency improvements. Manage all facilities related procurement and service contracts in accordance with the Group Supply Chain Policy. Negotiate, with the support of Group Supply Chain where applicable, vendor contracts related to the supply and provision of facilities services. Maximise operating cost-effectiveness, through the development and implementation of cost reduction initiatives and processes. Manage contractor, service, and vendor relationships, ensuring services are delivered according to agreed-upon terms and quality standards. Monitor vendor performance and address any issues or concerns in a timely manner.Health, Safety and Environment
Work in partnership with SHE Officer to support and maintain the relevant EMS necessary to meet the requirements of the De Beers Group, Industry and Regulatory Standards. Support the appropriate processes, procedures are adhered to in compliance with Group Standards, industry, and regulatory codes – including all ISO standards to which the business subscribes. Align with the Building Supervisor – SHE to manage and oversee H&S legislation and building regulations requirements. Monitor Health and Safety legislation guidelines and provide updates on new legislation and potential impact. Work closely with Building Supervisor – SHE to ensure any new training is carried out for staff within regulatory timelines. In conjunction with Building Supervisor – SHE, conduct regular safety inspections and audits of facilities, equipment, and work areas to identify hazards, assess risks, and implement corrective actions. Ensuring all risk registers are updated accordingly. QualificationsStrong knowledge of building systems, maintenance practices, health and safety regulations, and environmental sustainability principles. Successful background in delivering both soft and hard Facilities Management services to a complex and demanding office. Experience of managing vendor and contractor relationships Experience of working with senior managers, building strong relationships, and delivering to the highest standards. Strong experience in space planning and move management. Project management experience Experience in office refurbishment/relocation. Proven track record in delivering an effective five-star customer service. Experience in the Diamond industry, and Diamond Controls preferred.
