Business Analysis lead & Intake Manager
Aon sp. z o.o. Intake Manager – Automation Projects We are seeking an experienced and dynamic Intake Manager to lead the intake, assessment, and prioritization of new automation projects for Aon: a global reinsurance firm. This role involves recording, scoping, and evaluating potential automation initiatives, ensuring alignment with strategic business goals, and managing a team of Business Analysts (BAs) across multiple countries and time zones. The ideal candidate will have strong analytical skills, excellent communication, and a solid understanding of automation technologies and processes. What the day will look like: Intake and Assessment of Automation Projects: + Lead the intake process by gathering and recording new automation project requests from business units globally. + Evaluate and scope each project by working with stakeholders to understand requirements, key objectives, and desired outcomes. + Perform initial feasibility assessments, considering technical constraints, cost, resource availability, and expected business impact. + Prioritize projects based on value, urgency, and alignment with company objectives, using a consistent framework. + Ensure projects are well-defined with clear and approved business cases before moving forward to the automation development team. Stakeholder Engagement & Communication: + Build strong relationships with business leaders, ensuring their needs are understood and considered in project intake and prioritization. + Provide clear communication on project status, timelines, and decisions, maintaining transparency throughout the project lifecycle. + Facilitate regular meetings with global stakeholders to align on priorities, resources, and timelines. Project Prioritization & Roadmap Planning: + Develop and maintain a rolling intake pipeline, ensuring optimal allocation of resources for high-priority projects. + Collaborate with automation and IT teams to align project delivery schedules with available technical capacity. + Continuously refine the intake and prioritization process to improve efficiency and responsiveness. Team Leadership & Development: + Manage and mentor a team of Business Analysts across different countries and time zones, providing guidance on best practices for requirements gathering, scoping, and stakeholder management. + Facilitate collaboration across the team to ensure consistent processes and documentation. + Promote a high-performance culture, focused on delivering value through automation initiatives, and providing development opportunities for team members. Process Improvement & Innovation: + Identify opportunities to enhance the intake process by leveraging technology, tools, and best practices. + Promote automation innovations that can drive operational efficiency across the organization. + Work closely with the Automation Development and IT teams to ensure alignment on strategic technology initiatives. Skills and experience that will lead to success: + Ability to manage multiple projects and competing priorities. + Strong attention to detail and commitment to quality. + Culturally aware and able to manage global teams. + Results-driven with a focus on business impact and continuous improvement. + Bachelor's degree in Business, Information Technology, or a related field. Master's degree is a plus. + 5+ years of experience in project intake management, automation, business process improvement, or a related field. + Experience managing Business Analysts or similar roles in a global environment. + Familiarity with automation tools and technologies (e.g., Appian, RPA, AI, machine learning). + Previous experience in the insurance or reinsurance industry is an advantage. + Strong leadership and team management skills, with the ability to lead a distributed, cross-functional team. + Exceptional analytical and problem-solving abilities, with a talent for prioritizing projects effectively. + Excellent communication and interpersonal skills, able to work across multiple regions and cultures. + Strong understanding of business processes, automation technologies, and project management methodologies. + Proficiency in workflow management tools, automation platforms, and collaboration tools (e.g., JIRA, Confluence, Slack, etc.) How we support our colleagues In addition to our comprehensive benefits package, we encourage a diverse workforce.
