Job Title Business Coordinator I Agency Texas A&M University Department Academic Accounting and Business Services Proposed Minimum Salary Commensurate Job Location College Station, Texas Job Type Staff Job Description A Glimpse of the Job The Business Coordinator I will serve as a member of the “Accounting Pool” and will be responsible primarily for transaction processing within AABS. Essential Duties/Tasks: + Cash Management - Processes deposits (including Reduction to Expense and TAMU Foundation deposits) for departments served by AABS, ensuring appropriate handling, recordkeeping, and physically depositing in accordance with university guidelines. Resolves discrepancies. + Accounts Payable - Reviews items submitted for processing/creating non-PO invoices in AggieBuy. Works with Accounting Team to ensure compliance with university guidelines. + Account Reconciliations - Coordinates entry of documents into Laserfiche Repository, working the Quality Assurance folder, linking documents, unidentified, etc. Reviews and loads missing documents. Verifies transactions and reconcile accounts. Process corrections as identified in reconciliation process (DCRs and PCTs). Deletes duplicate transactions in repository as necessary. + Customer Service - Responds to inquiries from customers (primarily internal) concerning transaction processing. Maintains sufficient knowledge base needed to accurately answer questions and assist with the resolution of complex and/or unusual problems. Takes “ownership” of customer service responsibilities by following up and “closing the loop” on situations crossing desk. + Accounts Receivable - Creates invoices/interdepartmental transfers for external and internal customers (iPayments). + OMEGA Validation - Reviews transactions in the OMEGA system and verifies it again the documentation attached to ImageNow. + Travel Requests and Expense Reports - Reviews Concur travel requests and travel expense reports as needed. + Mentor/Backup for other Accounting Team members - Assists in training new employees/student workers as needed. Participates in AABS department/team meetings and professional development courses as necessary What you need to know Salary: Compensation will be commensurate to selected hire’s experience. Required Education and Experience + Bachelor’s degree or equivalent combination of education and experience. + Two years of related experience in general office, accounting, or personnel operations. Preferred Qualifications + Ability to interpret and explain state and TAMU regulations/rules, policies, and procedures to staff, customers, and vendors. + Knowledge of TAMU fiscal and administrative procedures. + Knowledge of Microsoft Office, particularly Excel, Word, and Outlook. + Ability to use spreadsheet software to compile, compute, organize, and present data for use in reports and other tracking activities. Knowledge, Skills, and Abilities + Ability to multi-task and work cooperatively with others. + Ability to manage and prioritize multiple assignments, work under pressure, and adjust to an ever-changing work environment. + Ability to work independently and carry out a variety of critical and time sensitive projects without detailed instructions. + Ability to interpret and explain regulations/rules, policies, and procedures to staff, customers, and vendors. Other Requirements and Factors + Work beyond a normal 40-hour work week may be required on occasion to meet deadlines. + This position is security sensitive. + This position requires compliance with state and federal laws/codes and Texas A&M University System/TAMU policies, regulations, rules and procedures. + All tasks and job responsibilities must be performed safely without injury to self or others in compliance with System and University safety requirements.
