Principal responsibilities
Relationship Establishment and Onboarding
- Partner Sourcing Support:
- Collaborate with internal departments to understand their needs for third - party services or products. Assist in the identification and pre - screening of potential third - party partners, leveraging industry knowledge, market research, and professional networks.
- Provide input to the procurement team on the selection process, highlighting factors such as a vendor's reputation, past performance, and cultural fit with the organization.
- Onboarding Coordination:
- Develop and execute comprehensive onboarding plans for new third - party partners. This includes scheduling kick - off meetings, introducing relevant internal stakeholders, and ensuring that all parties are clear on expectations, goals, and timelines.
- Facilitate the exchange of necessary information between the organization and the third - party, such as company policies, technical requirements, and security protocols.
Communication and Collaboration
- Regular Liaison:
- Serve as the primary point of contact for assigned third - parties. Establish and maintain regular communication channels, including weekly or monthly calls, emails, and in - person meetings as needed.
- Proactively share relevant company updates, changes in requirements, and market trends with third - parties, while also staying informed about their business developments, capabilities, and any potential issues.
- Cross - Functional Collaboration:
- Work closely with various internal departments, such as finance, legal, operations, and quality assurance. Coordinate efforts to ensure that all departments' needs are met in the third - party relationship and that any cross - functional issues are resolved promptly.
- Represent the third - party's perspective within the organization, advocating for fair and mutually beneficial arrangements.
Performance Management
- Goal Setting and Monitoring:
- In collaboration with internal stakeholders, define clear, measurable performance goals and key performance indicators (KPIs) for third - parties. These may include metrics related to service quality, delivery timeliness, cost - effectiveness, and customer satisfaction.
- Regularly monitor third - party performance against these KPIs. Use data - driven reports and analytics to track progress, identify trends, and detect any deviations from the agreed - upon standards.
- Performance Improvement:
- When third - party performance falls short of expectations, initiate corrective action plans. Work with the third - party to understand the root causes of the issues and develop strategies for improvement.
- Conduct performance reviews at regular intervals, providing constructive feedback to third - parties and recognizing excellent performance.
Contract and Compliance Management
- Contract Oversight:
- Ensure that all third - party contracts are properly executed, monitored, and adhered to. Review contract terms regularly to ensure that they remain relevant and favorable to the organization.
- Coordinate with the legal department on any contract renewals, amendments, or terminations, providing insights based on the third - party's performance and relationship status.
- Compliance Assurance:
- Verify that third - parties comply with all relevant laws, regulations, and internal company policies. This may involve conducting regular compliance audits or requesting documentation from third - parties to demonstrate their compliance.
- Stay updated on changes in regulations that may impact third - party relationships and communicate any necessary adjustments to the third - party and internal stakeholders.
