Business Office Assistant (Facilities)

The Business Assistant (BA) ensures the smooth performance of daily office services functions and provides administrative support for a team or location.  This BA position works primarily on-site at our M Physicians Administrative Office and assists in supporting needs of the Facility Operations team and maintaining consistent services across our UMP facilities. This position is part of a larger admin support team that provides daily services at multiple facilities. The BA will cross-train in other roles to be able to provide back up support and help the team maintain daily tasks across our system.

What you will do as a Business Office Assistant:

Process invoices for payment and ensure proper coding to Facilities budget categories.Research and resolve invoice issues and account balance discrepancies.Manage rent roll for company-wide leases. Create ID badges and access badges for employees company-wide and for multiple security systems.Assist with security system changes, camera monitoring, conducting audits, and providing reports for physical security at multiple locations.Maintain key inventories for company facilities.Assist with office moves, remodels, space mapping, etc.Manage signage requests, manage signage guidelines, conduct regular audits of signage at multiple locations, assist with creation of signage.Support LEAN efforts with clean up and organization.Post/update materials for UMP internal website, maintain vendor contact list and shared MS Teams files.Assist with purchasing for facility repairs, supplies, etc.Provide back up support to other roles, including managing incoming/outgoing mail, directing couriers and deliveries, assisting with building maintenance requests, and other daily tasks required to support the needs of on-site and remote workers.

What you will need:

Post-secondary education (Bachelor’s or Associate’s Degree) or equivalent facilities knowledge, training and experience. 2+ years of general office support or facilities management experience.Excellent computer and customer service skills.  Microsoft Word, Excel, and Outlook skills required. Basic aptitude for machines and mechanical equipment.  Exhibits professionalism and willingness to learn.Able to work effectively with all levels of management, external constituents, and co-workers.

Hours: 1.0 FTE, 40 hours per week
