GENERAL DESCRIPTION:
The Office of the Public Defender is seeking a motivated and experienced individual to supervise, train, and coach our dedicated support staff. This role serves as a vital link between the Circuit Court, District Court, and other external agencies, ensuring effective communication and collaboration with the Public Defender Office.
The successful candidate will be responsible for coordinating and performing a variety of tasks to assist attorneys, courts, and clients. This includes being responsible for administrative management of case progression through the criminal justice system, streamlining office operations, and maintaining a high standard of service delivery.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.
+ Supervise, mentor, train, and coach support staff and delegate assignments to ensure maximum productivity.
+ Develop meeting agendas and coordinate weekly support staff meetings.
+ Monitor the development and advancement of tasks assigned in support staff meetings.
+ Develop, implement, and refine policies and procedures for the staff in order to keep the office running in an efficient manner.
+ Supervise staff including assigning and scheduling work, approving or denying leave requests, and conducting performance evaluations.
+ Develop, maintain, and update information for the staff, attorneys, and outside parties, including contact information for the office and other entities.
+ Keep the staff informed of information and changes that will directly affect the daily operations.
+ Act as liaison with courts, district attorney, other entities within the criminal justice system, agency administration, and other state and county agencies.
+ Supervise and undertake duties of a legal assistant, including but not limited to calendaring court, court notifications to clients, opening and closing cases on agency database, preparing new files, conflict checks, receptionist duties such as answering phones, court filings, and distribution of court documents, mail and distribution of mail, and implementation of office procedures, such as the failure to appear process and the linked files, and preparation of Notices of Appeal.
+ Preparing new case packets from courts for assignment by the supervisor in accordance with agency policy and audit requirements.
+ Responsible for office inventory, ordering of supplies, and maintenance of equipment.
+ Responsible for ensuring all new hires, including attorneys, have required equipment, access to equipment, and access to resources necessary to fulfill job obligations.
+ Drafting and submitting Fee Agreements, travel vouchers, and other agency forms.
+ All other law office-related tasks as assigned by the supervisor or agency administration.

Qualifications
KNOWLEDGE:
+ Knowledge of agency organization and goals.
+ Knowledge of management, supervisory, and organizational techniques.
+ Some knowledge of the criminal justice system.
MINIMUM QUALIFICATIONS:
Education:
Bachelor's Degree (typically, but not necessarily, in Business)
Experience:
0-3 years of progressive work experience ( typically, but not necessarily, in Business ) with acquired knowledge at the level of a Business Office Coordinator I
OR
Education & Experience Substitution:
4-6 years of progressive work experience (typically in Business) with acquired knowledge at the level of a Business Office Coordinator I

PHYSICAL WORKING CONDITIONS:
+ Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
+ Special physical demands are not required to perform the work.
