Position Summary: The School Business Manager & District Data Coordinator oversees the financial, operational, and data management functions of the school. This dual-role position ensures that resources are efficiently utilized to support the school's mission while maintaining compliance with state and federal reporting requirements, particularly for the New York State Education Department (NYSED). The position encompasses budgeting, compliance, facilities oversight, data coordination, and reporting responsibilities.
Key Responsibilities:
District Billing and Revenue Management:
+ Prepare and submit accurate billing to districts for student enrollment and tuition reimbursement.
+ Reconcile district payments and follow up on outstanding balances to ensure timely receipt of funds.
+ Maintain detailed records of billing and payments for audit and reporting purposes.
Registrar Duties:
+ Manage and maintain accurate student enrollment records, including registrations, transfers, and withdrawals.
+ Ensure compliance with state and federal guidelines for student record-keeping.
+ Oversee the management of the school's Student Information System (SIS), ensuring accurate data entry for attendance, grades, transcripts, and graduation tracking.
+ Provide reports and updates on student enrollment trends and demographics.
District Data Coordination (NYSED):
+ Serve as the school's primary District Data Coordinator, ensuring compliance with NYSED reporting requirements.
+ Manage the submission of data to the NYSED Level 0 and Level 1 reporting systems, including enrollment, attendance, assessment, and graduation data.
+ Ensure timely and accurate reporting for NYS Accountability, ESSA (Every Student Succeeds Act), and state aid purposes.
+ Train and support staff on data entry, reporting, and compliance.
+ Analyze data trends to provide actionable insights to leadership.
Support for Chief Operating Officer (COO):
+ Assist the COO with operational planning, resource allocation, and process improvements.
+ Provide data and financial insights to support decision-making on facilities, transportation, and technology.
+ Coordinate with the COO on compliance-related tasks, such as safety protocols and state audits.
Strategic Leadership:
+ Oversee and manage the team of staff members in the main office.
+ Collaborate with leadership on initiatives to improve operational efficiency and cost management.
+ Provide insights on both financial and operational data to inform long-term planning.
+ Serve as a liaison between the school and external stakeholders, including auditors, banks, NYSED, and government agencies.
Work Environment:
+ Primarily office-based with occasional travel to off-site meetings or school-related events.
+ May require extended hours during peak budgeting, reporting, or audit periods.
Qualifications:
Requirements & Experience:
+ Minimum of 3 years of experience in charter school business administration and management
+ Strong organizational and project management
Education
+ Bachelor's degree required
Skills and Competencies:
+ Excellent verbal and written communication skills.
+ Proficient in Microsoft Office Suite or related software necessary to create and maintain reports and logs.
+ Excellent organizational skills and attention to detail.
+ Ability to perform well in a fast-paced environment.
