What’s the role?

As a Business Operations Expert – Lead to Cash, you get to work with an astonishing team that plays a vital role in Carl Zeiss SBE, LLC. Show case your skills and experience with process enhancements by managing the transportation, distribution, and logistics of products necessary to meet business needs whilst maximizing efficiency and minimizing costs. Participates in the development of the short-term strategies of the operative logistics business and understands the need for an effective transportation and distribution function to support them. Ensures guidelines and policies (including safety and security measures (e.g. storage of dangerous materials) are adhered, and that all aspects of material handling are done so efficiently and effectively.

Here’s what you’ll do:

Customer Interaction: Manage all customer interactions, including inquiries and communications, ensuring high customer satisfaction.

Capital Orders: Accurately create and process quotes and customer purchase orders. Ensure all orders are entered into the system correctly and follow up on any discrepancies.

Shipping Coordination: Collaborate with headquarters to schedule and organize shipments, prepare all required shipping documentation, and ensure compliance with international trade regulations.

Financial Transactions: Work closely with the Financial Controller on the coordination of various financial transactions including collection of payments, processing invoices and vendor related transactions. Review all items for correctness and accurate month end close. Coordinate Internal Audit selections.

Sales Monitoring: Continuously monitor the status of sales from initiation to closure, liaising with sales, logistics, and finance departments to ensure smooth progress and address any issues promptly. Assure deposits are invoiced and paid in accordance with customer terms.

Returns Management: Oversee the process of returns, exchanges, and cancellations efficiently. Work with Warehouse to arrange for the transportation and ensure proper documentation and approvals for product returns.

The responsibilities include collaborating with external partners to implement and test EDI connections, overseeing the maintenance of existing EDI systems, and identifying opportunities for enhancement, as well as troubleshooting and resolving EDI transaction errors.

Operational Oversight: Monitor daily operations, ensuring that all entries are updated in real-time in the SAP/CRM system. Facilitate communication between technicians, warehouses, and customers.

Service Order Management: Oversee and ensure the timely completion of service orders. Verify proper logging of part consumption, labor hours, and billing of all chargeable items.

Inventory Management: Reconcile physical stock with system records weekly to maintain accuracy. Issue purchase orders for low inventory and replacements as needed. Main point of contact for Warehouse and several Satellite Warehouses.

Experience in warehouse processes, inventory control, logistics coordination, and familiarity with warehouse management systems (WMS) and related technologies.

Compliance and Documentation: Assist in preparing and reviewing commercial invoices and customs documentation for returned goods. Support customs clearance through direct communication with brokers and carriers.

Do you qualify?

Bachelor’s degree in business administration, Supply Chain Management, or related field.

7+ years of experience in order management, inventory management or related field.

Strong analytical skills and attention to detail.

Excellent communication and interpersonal skills.

Experience with MS Office (Excel, PowerPoint, Word, Outlook, TEAMS).

Proficient with SAP and CRM.

Comfortable working in professional, hands-on environment.

The annual pay range for this position is $90,000  – $110,000.

The pay offered for this role may be influenced by factors such as job location, scope of role, qualifications, education, experience, & complexity/specialization/scarcity of talent.

This position is also eligible for a performance bonus or sales commissions.  ZEISS also offers robust benefits, including medical plans, retirement savings plan and paid time off.
