Overview: We are seeking a detail-oriented, autonomous and proactive Business Operations Manager with a start-up mindset to support our team in managing relationships with external vendors, partners, and stakeholders. This role will focus on overseeing the operational aspects of our business partnerships, ensuring seamless coordination from contract initiation to project completion. With a proactive and solution-oriented approach, the ideal candidate will be comfortable working cross-functionally in a fast-paced environment, collaborating across teams to drive impactful results.
Key Responsibilities:
Vendor and Partner Relationship Management: Act as the primary contact for vendors, handling day-to-day relationship management to ensure alignment and smooth communication.
Invoicing and Accounts Payable: Manage invoicing processes, accounts payable, and ensure timely processing and payment of vendor bills.
Contract and NDA Management: Facilitate the execution and tracking of Non-Disclosure Agreements (NDAs), Statements of Work (SOWs), and other contracts. Collaborate with legal and compliance teams to ensure contracts are up-to-date and meet company standards.
Purchase Orders and Vendor Setup: Manage the creation and tracking of Purchase Orders (POs) and oversee the vendor onboarding process.
Project Coordination with Research Team: Work closely with the research team and other cross-functional teams to outline project details, define timelines, and ensure alignment with contractual agreements.
Operational Oversight: Track and report on contract status, ensuring that all necessary documents and approvals are in place for projects to move forward.
Continuous Improvement: Identify and implement process improvements to streamline vendor management, invoicing, and contract workflows, with a focus on efficiency and scalability.
Qualifications:
Bachelor’s degree in Business Administration, Operations Management, or related field.
Proven experience in business operations within cross-functional environments, relationship management, or contract management.
Strong organizational skills, with an eye for detail and the ability to manage multiple priorities.
Excellent communication skills and a customer-oriented approach to managing external and internal relationships.
Proficiency in relevant software and tools for invoicing, contract tracking, and project management.
The pay range is listed and actual compensation packages are based on a wide array of factors unique to each candidate, including but not limited to skill set, years & depth of experience, certifications and specific office location.
