Business Operations Manager

Job Duties/Responsibilities

Coordinate scheduling and calendars for the executive team Client relationship support Provide onsite management, and localized support, (M-F/ 8-5), with 24/7 on call support as needed Focal point for Global Facilities for all preventative maintenance activity and ongoing maintenance agreements Provide Facilities and a workplace environment that effectively supports business OPs and employee wellbeing and morale Design and implements office policies (Including H&S) by establishing standards and procedures; measuring results against standards; making adjustments Manage the office occupancy and enforce seating standards Office Management - Coordinate booking of large office meetings and events, assist with NICE company client external and internal audits, identify and evaluate suppliers for office equipment as due diligence to ensure that stocks are maintained, project management of facilities projects, and manages all aspects of space use (moves, occupancy reporting, etc.) Administration - Issue Facilities Bizdocs for refreshments/ stationary etc., using nominated suppliers and online purchasing. Verify goods/services received and approve invoices Office Supplies/Ordering - provide necessary goods and services cost effectively within the budget Office Equipment Maintenance/Copiers & Printers/ Shredders/ Mail/ UPS/ Postage Tactical negotiation for local service providers determining use of national / local vendors Help manage and coordinate morale activities such as All Hands, Birthday/Anniversary Celebrations, Global Community Month, Customer Appreciation Week, external employee events such as Summer and Holiday events Collaborate with cross-functional teams on daily tasks, projects and strategic initiatives

Qualifications

2+ years Office Management Experience Track record of identifying problems, proposing solutions to key stake holders and logistical execution Up-to-date on Covid requirements and best practices Previous experience on renovation/remodel projects is a plus Experience managing vendor relationships Ability to work efficiently and effectively under tight deadlines as well as balance multiple projects by prioritizing effectively Experience in fast paced work environment (tech company experience a plus) Excellent organizational skills Excellent communication skills, both written and verbal Strong attention to detail
