Class Summary
Job Description
This position is responsible for creating/modifying purchase orders; confirming goods receipts; processing payments; journal vouchers, employee reimbursements; invoicing; and other duties similar in nature.
Essential Duties
+ Receives, codes, processes and maintains a variety of purchasing requests, payment requests, maintenance agreements, invoices, accounts receivables and other related documents.
+ Files and maintains financial records, logs, and forms.
+ Performs data entry of information contained on purchase requests, journal voucher, capital service requests, work orders, invoices, and/or other related financial documents.
+ Performs a variety of clerical and/or receptionist functions, which may include typing, answering phones, filing, copying, faxing, opening and distributing mail, and/or other related activities.
+ Responds to inquiries from employees, vendors, and/or other interested parties regarding payment, purchase status, and/or other related information.
+ Prepares a variety of reports related to financial activities.
+ Gathers data and information in support of budgetary preparation activities.
Grade & Salary
The grade for this position is B21 (1). Salary will be based on education & experience.
Minimum Qualifications
+ High School Diploma or G.E.D., and
+ Three (3) years bookkeeping, accounts payable and/or accounts receivable experience; or
+ an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.

+ This job is eligible for a hybrid telework schedule after an initial probationary period and individual approval.

Department of Support Services
The Support Services team manages the design, construction, and maintenance of facilities; manages the acquisition and disposal of real property and right-of-way; supports the delivery of essential services through the purchase and maintenance of the County's fleet and the purchase and dispensing of fuel; manages residential solid waste contracts; manages cafeteria and food service contracts; and provides records management services, mail services, housekeeping services, and grounds services to support County operations.
Business Services Division
+ Budget preparation and administration, accounts payable, accounts receivable, purchasing liaison, agenda item management, and the coordination of process improvements and performance management measures.
+ Develops and implements training on financial management practices
+ Implementation of internal process improvements concerning financial processes
+ Accounting for fixed assets, biennial asset audit, and support of the County’s facility asset management program

The 14 departments that make up the executive side are Police Services, Fire and Emergency Services, Corrections, Communications, Support Services, Financial Services, Community Services, Human Resources, Information Technology Services, Law, Planning and Development, Water Resources, Child Advocacy & Juvenile Services, and Transportation. Each department is run by a director who is charged with managing operations in a manner which stresses the County’s values.
In addition to the executive side of County government, certain services are provided through Constitutional officers and independent elected officials. These external offices are created by the Georgia Constitution or through state law. In Gwinnett, they include the Sheriff, Tax Commissioner, District Attorney, Solicitor, Probate Court Judge, and Chief Magistrate.
