Primary Purpose of the Organizational Unit The focus of Career & Professional Development is to provide professional guidance and resources to undergraduate and graduate students along with recent graduates. Programs and services are designed to educate, counsel, and engage students and alumni in career planning and decision-making, experiential learning, continuing education, and/or employment search activities. To provide these programs and services, Career & Professional Development establishes mutually beneficial relationships with students, alumni, employers, faculty, staff, and the community. Position Summary This position reports to the Director for Career & Professional Development and serves as the primary office operations liaison for the department, staff, and public. Manage office, business, administrative and budgetary systems for the office, including staff supervision. In close collaboration with the Director, make decisions regarding budget and human resources. Assist the Director in managing the day-to-day functions of the department and serve on the Management Team with Director, two Associate Directors, and the Web and IT Manager.
Independently manage all Career Services funds (expenditures, deposits, and balancing) as well as advise Director on budgetary issues and coordinate purchasing activities including P-card system purchases.
Serve as primary liaison with Student Affairs and University Human Resources on all hiring and employee matters. Coordinate with HR to facilitate submission of all job-related hiring documents, monitor postings, coordinate all candidate interviews, process all new hire paperwork, and advise and support managers with creation of onboarding plans.
Manage front office operations including the hiring, training, and day-to-day supervision of student employees/office assistants. Train staff on office, business, administrative and budgetary systems, processes and forms.
Spearhead all internal office event and meeting planning. Minimum Qualifications

BACHELOR’S DEGREE IN BUSINESS ADMINISTRATION OR A RELATED DISCIPLINE; OR AN EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE. ALL DEGREES MUST BE RECEIVED FROM APPROPRIATELY ACCREDITED INSTITUTIONS.

Salary Grade Equivalency Key Responsibilities ________________________________________________________________________________________________________________________ Key Responsibility Budgeting, information and records administration, and office administration, including accounts payable/receivable for Career Services Funds Essential Tasks Recommends expenditures for goods, services, supplies, manages all software contracts and association memberships & renewals and all other functions of the department. Makes decisions on expenditure of funds and has signature authority for CSC accounts disbursements with same limits as Director. Independently coordinates and resolves purchasing needs and record keeping responsibilities of all other staff members related to budget. Responsible for all aspects of CSC budget records including all Funds, State and discretionary, and all CSC individual event budgets Analyzes and researches current and previous year data to collaborate with Director in developing the annual budget. Establishes and maintains extensive paper and electronic filing systems and for use in analysis and research; provides information to Director and other staff when needed Interprets, summarizes, and presents information and reports directly related to the department’s goals, metrics, and priorities. Utilizes multiple software systems to post and reconcile all fund accounts and collects and analyzes all financial data. Researches any discrepancies online and/or by directly contacting various departments/vendors involved and makes appropriate corrections. Independently research, analyze, assimilate, and present data, including purchasing decisions and major recommendations, on operations of Career & Professional Development Collect data from multiple sources to prepare reports, for all funds and events, and alert the Director as to the status of accounts and issues of concern. Responsible for all aspects of the Purchasing Card system for CSC which includes coordination of all user cards. Coordinates use of cards, obtains receipts, posts and reconciles monthly statements using online software for each card; works with cardholders to determine allowable purchases and offers alternative solutions as appropriate. Researches supplies and equipment requested, determines best choice, checks that funds are available and places orders. Collaborates closely with Financial Aid & SEO Coordinator to manages the JLD budget. Key Responsibility Manage all Human Resources functions, including payroll and serving as staff resource for benefits information, and facilitate all recruitment, interviewing, hiring, and on-boarding of new staff and student positions Essential Tasks Serves as primary liaison with Student Affairs and University Human Resources on all hiring and employee matters. Screens, interviews, evaluates and recommends applicants for hire in student, EHRA and SHRA positions. Key Responsibility Supervises the Front Office and all office operations.
