Business Services Coordinator

The Business Services Coordinator is responsible for onsite support acting as a gatekeeper and liaison for the Nuveen Executive Suite by providing assistance with conference services, event management, facilities, and receptionist duties. This role is an integral part of the daily operations at Nuveen’s New York office.

Key Responsibilities and Duties

Act as gatekeeper and friendly face for anyone coming to the Nuveen conference center or executive suiteManage conference center bookings requests and questions; liase with in-house catering for meeting orders; start conference calls and zoom meeting Serves visitors by greeting, welcoming, and escorting them appropriately; accompany personnel of visitor arrival Helps maintain workplace security by coordinating visitor access with lobby security desk Maintains an orderly and pristine appearance of office refreshment areas, conference rooms, guest reception areas and front desk Coordinate maintenance as needed; connect with facilities on cleaning and HVAC requests; Act as a liaise with building management, office services,  IT department Assists event management; holiday party, associate events, client events; Assists with catering orders and setup Assists with ordering and fulfilling pantry & supply closets and tracking budgets Assist the Nuveen Leadership Team admins with various ad-hoc requestsMust be effective at listening to, understanding, and clarifying concerns raised by employees and guests; must be able to maintain confidentiality of information.Occupancy management administrator responsibilities; new hire seat placement and hoteling desk reservation management   Observe Nuveen floor operations and user behaviors; suggest strategic changes to procedures to enhance overall employee experience

Proficiency in Microsoft officeExperience with booking and expense software a plusNotary a plus, or ability to obtain within 6 monthsExcellent oral and written communication skills (including reading, writing, clear speaking voice and good listening skills)

Base Pay Range: $21.77/hr. - $36.29/hr.

Actual base salary may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location.  In addition to base salary, the competitive compensation package may include, depending on the role, participation in an incentive program linked to performance (for example, annual discretionary incentive programs, non-annual sales incentive plans, or other non-annual incentive plans).
