Location: Midland, TX (North Holiday Railroad) with occasional travel to local offices (mileage provided)

Job Type: Full-Time, 1-Year Contract (Potential for Extension)

Schedule: Mon - Fri (5/40)

Airswift is seeking a highly organized and proactive Business Services Coordinator II to support one of our major clients in the OIl & Gas Industry. This role involves coordinating activities, managing administrative tasks, and ensuring smooth communication across departments. The ideal candidate will be self-motivated, detail-oriented, and comfortable working with minimal supervision in a dynamic environment.

Key Responsibilities:

Organize and support team activities, meetings, and events.

Perform administrative tasks to facilitate the department's initiatives.

Coordinate schedules, maintain team calendars, and update the organizational chart.

Manage and update Outlook distribution lists and vendor contact information.

Administer and maintain the team's SharePoint site.

Handle logistics for meetings and events, including venue selection, catering, calendar invites, agenda preparation, sign-in sheets, and records.

Order and manage inventory for materials such as signage, posters, and branded items.

Provide on-site logistical support during team events.

Support cost management through efficient ordering and resource utilization.

Undertake additional administrative duties as needed.

Required Skills and Qualifications:

Strong written and verbal communication skills.

Excellent organizational and time management abilities.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Experience with Microsoft SharePoint, EventX, Open Invoice, Chrome River, SurveyMonkey, and Slido.

Ability to type 50+ words per minute.

Strong initiative and ability to work independently.

Event planning skills, including vendor coordination and logistics.

Cost-conscious with a track record of resource-efficient planning.

Familiarity with venues, caterers, and printing resources in the Permian area is preferred.

Additional Information:

This is a 40-hour-per-week position with occasional travel to nearby offices.

Mileage reimbursement is provided for work-related travel.

The successful candidate will work closely with the Well Work Team and assist with meetings, events, and various administrative functions.
