Job Description

The Communities and Urban Science Research Group (CUSRG) in the Building Technologies and Science Center (BTSC) at NREL conducts research related to building and district energy efficiency, built environment decarbonization, resilience, and community sustainability. We work with communities to deploy affordable strategies and energy-efficient building technologies that meet the community's needs and sustainability goals. Our work enables the NREL vision of a clean energy future for the world.

We are seeking a Business Support Professional to work with the group manager to achieve group business functions that enable successful research and development. This administrative professional is responsible for executing moderately complex administrative functions with minimal oversight, and providing timely, accurate, and effective administrative support for the programmatic, business, and operational functions of the group, based on BTSC requirements.

This position necessitates strong organizational skills, the ability to prioritize multiple demands, the ability and desire to work across our Center and across NREL, and robust interpersonal skills. The ideal candidate will also act as a resource to staff on institutional processes, procedures, and requirements and proactively develop or provide input to group-specific administrative practices. This position interacts frequently with senior management, external collaborators and sponsors, and national and international visitors and therefore requires a professional approach to work.

Job responsibilities include, but are not limited to:

Support day-to-day activities for the CUSRG line manager, task leaders, and group researchers.

Interface across NREL to gain approvals to procure software.

Act as a resource to staff on institutional processes, procedures, and requirements, and provide input and recommendations on organization-specific administrative practices.

Proactively manage and/or monitor multiple tasks and information for the group: calendars, meetings, conference and workshop logistics, travel arrangements, visitors, vendors, supplies, mail, records, training, publications, space planning, and the distribution and flow of information.

Work cooperatively with other administrative staff on group tasks, activities, and events.

Help with travel authorization and travel expense reports for NREL staff and stakeholders.

Help with onboarding new employees and interns and obtaining site access for subcontractors, stakeholders, and visitors.

Coordinate interview logistics for potential new hires.

Lead celebration and team-building activities for CUSRG and BTSC.

Develop presentations and track team accomplishments in an organized and meaningful way.

Host visitors and manage meetings, including high-visibility meetings.and other activities that support technical tasks.

Team with the group manager to lead in agreed-upon areas.

Contribute to a positive work environment.

Contribute to Center-wide and Directorate-wide tasks as appropriate.

Ability to work in the office 4 days a week.

Basic QualificationsHigh School Diploma or equivalent and 1 or more years of experience or equivalent relevant education/experience. Or, relevant Associate's Degree or certification program of comparable scope or equivalent relevant education/experience. Solid knowledge of the job. Substantial understanding of general aspects of the job with a broad understanding of the detailed aspects of the job. Intermediate skills in applicable software packages and office equipment. Basic project administration skills. Ability to prioritize work. Proficient in written and verbal communications. Very good team and interpersonal skills.

Additional Required Qualifications

Excellent computer skills on Mac and/or PC platforms, including but not limited to proficiency with Microsoft Office components (Outlook, Word, Excel, and PowerPoint), and Preview/Acrobat.

Demonstrated ability to multitask in an office environment where there are frequent interruptions and continually shifting priorities, with a knack for getting things done with attention to detail in such an environment.

Demonstrated ability to work proactively and take initiative as needed in non-routine situations.

Ability to make decisions independently, within the authority of the position, seeking input only as needed when decisions involve others.

Aptitude for quickly learning new skills, new processes, and unfamiliar business software systems with complicated user interfaces.

Exhibits a positive, “how can I help,” can-do attitude.

Intermediate skills in applicable software packages and office equipment.

Basic project administration skills.

Annual Salary Range (based on full-time 40 hours per week)Job Profile: Business Support II / Annual Salary Range: $42,700 - $68,300

NREL takes into consideration a candidate’s education, training, and experience, expected quality and quantity of work, required travel (if any), external market and internal value, including seniority and merit systems, and internal pay alignment when determining the salary level for potential new employees.
