The Role of the Butler

The Butler serves as the primary point of contact for guests, ensuring a seamless and personalized experience. They coordinate with all departments—Room Service, Housekeeping, Concierge, and more—to fulfill guest requests efficiently while minimizing disruptions. A Butler anticipates guest needs through attention to preferences, providing exceptional service without being intrusive.

Key Functions

Prior to the guest’s arrival, the butler must familiarize themselves with their guests, ensuring they know the names of the principal and family members, any pre-booked dining or activity reservations, special dietary requirements, or specifically requested items the guests may need during their stay.

During the guest’s stay, review traces and notes for the day and coordinate with the various team members to meet guest expectations. Use this opportunity to add a special touch where appropriate.

The butler should introduce themselves and inform the guest that they will be available to assist throughout their stay. The butler should then provide a full orientation to the unit and facilities.

Unpacking services should be offered upon arrival. If the guest is not supervising the unpacking service, the butler must use their best judgment to place items appropriately. All clothing should either be hung neatly in the closet or folded neatly in drawers. Care should be taken to keep guest clothing together, e.g., keeping the husband's clothing in one closet and the wife's in another. If guest toiletries are placed in a bag, the bag should be set on the bathroom vanity with its contents inside (unless otherwise instructed by the guest). Computer bags or personal hand-carry bags should NOT be unpacked unless otherwise instructed.

Packing services should be offered in advance (no later than the day before departure) to allow the butler time to prepare and communicate with the guest. All bags must be packed at least one hour before the guest's departure time to allow for luggage collection by Bellmen and ensure the guest is not left waiting. If there are any fragile items, the butler should confirm with the guest for specific packing instructions. In some cases, professional shipping services (through the Concierge) may be recommended.

The butler must maintain the guest’s wardrobe and room, ensuring they remain neat and tidy at all times.

Butlers must have thorough knowledge of the property, hotel/resort services, and local attractions to answer basic questions and proactively assist with reservations as needed. However, the butler should act only as a liaison between the guest and the concierge for restaurant bookings, transportation, sightseeing tours, etc., and should not handle requests directly.

The butler must be able to perform all housekeeping duties (as a room attendant would) for both AM and PM service. In many locations, depending on the unit’s size, a larger team may be required to expedite cleaning. In such cases, in addition to assisting with cleaning, the butler will also act as a supervisor—inspecting the cleanliness of the unit, clearly informing housekeeping of requested service times for both AM and PM service, and advising on any preferences, special requests, and amenities.

The butler will assist the guest by filling out the laundry list, collecting items from the guest’s room, and preparing them for pickup. The butler must always confirm what time the guest would like the laundry returned and be familiar with pickup/delivery times. When the laundry is delivered, the butler should place the guest’s clothing appropriately in the unit.

The butler is responsible for coordinating with the relevant department for replenishing all consumed private bar items and ensuring proper billing to the guest account. Products must be fresh, neatly packaged, and within their expiration dates.

The butler will decorate guest rooms as requested for celebrations in line with the current program.

The butler will ensure all flowers and amenities are replenished as needed, without disrupting the guest. As a general rule, butlers should not answer incoming calls in the guest's unit when the guest is absent. However, if a guest expects a call and requests the butler to answer and take a message, they should do so.

Butlers should be able to prepare and serve simple beverages such as juice, tea, coffee, soft drinks, and mixed drinks (in the Villas). Butlers must also be comfortable opening and serving bottles of wine. The guest may call Room Service directly for their order, but if the butler is familiar with the guest’s preferences, they may place the order on their behalf. The butler must properly set the table (silverware, place settings, etc.) and assist in meal setup. Once the meal is completed, the butler will contact Room Service for dish collection and assist the server as needed.

The guest may request the butler to wash personal laundry (if there is a washer/dryer in the unit) or iron clothes. However, delicate materials require professional handling. All laundry and pressing should be managed through the property’s valet service at the applicable rate. Guests should be politely informed that their clothes will be sent to the property's laundry service.

In units with a full kitchen or barbecue setup, guests may request the butler to cook meals or prepare snacks. However, butlers are not trained chefs and may not follow all food safety procedures. Since the origin and handling of guest-purchased food cannot be verified, butlers should not cook within the guest unit. Requests for specific meals should be directed to a chef at an additional charge.

The Night Butler is responsible for completing a daily inventory of pantries, ensuring par levels are maintained for all food, amenities, coffee cups, spoons, champagne glasses, and other necessary supplies to operate successful butler service.

Upon request, the butler is expected to shine the guest’s shoes using polish and brushes for proper cleaning.
