Job Title: Purchasing Assistant
Job Description

As a Purchasing Assistant, you will be responsible for fulfilling order requests from customers, quoting based on provided specifications, and ensuring the best price and turnaround time. You will manage the entire purchasing process, from placing orders with vendors to tracking shipments and updating customers. Your role will include problem-solving, maintaining excellent customer service, and working closely with the internal team to meet deadlines.

ResponsibilitiesFulfill order requests from customers, usually via email.Quote customers based on provided specifications and offer the best price and turnaround time.Follow detailed instructions and specifications based on customers' requests.Place orders online or with vendors and create purchase orders.Follow up with vendors/suppliers and track shipments to ensure quick processing.Answer phones, send emails, and communicate with customers via email/phone.Communicate with the internal team to ensure deadlines are met and orders are turned around quickly.Update customers regarding the status of their orders, including confirmations and expected receipt times.Follow customers' shipping instructions.Email/speak with customers daily regarding the status of their orders.Work in the warehouse to verify shipment and dock receipt if necessary.Prepare billing invoices and keep track of shipment expenses, ensuring accurate billing.Enter billing into QuickBooks for reconciliation with credit card statements.Act as the voice of the organization and the primary contact for customers.Problem-solve and rectify any errors as quickly as possible.Essential SkillsExperience placing purchase orders.Experience in strategic sourcing.Exceptional organizational skills.Excellent customer service and a pleasant demeanor.Punctual and reliable.Detail-oriented with basic math skills.Strong communication skills via telephone/email in English.Self-motivating and able to manage oneself and the team to meet deadlines.Ability to multitask and prioritize effectively.Great memory skills.Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint).Proficiency in QuickBooks.Proficiency in Excel for data entry and supply chain management.Additional Skills & QualificationsSpanish-speaking is a plus but not required.Associate degree or higher is preferable.Experience in exports or logistics is a major benefit.Work Environment

The work schedule is Monday to Friday, onsite, with hours from 8 AM to 4 PM or 9 AM to 5 PM, with some flexibility. The company offers a small, family-owned feel, providing opportunities for quick advancement and the ability to impact processes. You will have the chance to work with Caribbean customers and build overseas relationships.

Pay and Benefits

The pay range for this position is $24.04 - $28.85
