About the Role: We are looking for a seasoned and highly trusted Executive Assistant to support the Office of the CEO and senior leadership team. This role is tailored for a professional with a strong background in supporting high-net-worth executives, excelling in fast-paced, high-stakes environments. The ideal candidate is proactive, meticulous, and exceptionally organized, with a natural ability to anticipate needs and manage sensitive information with absolute confidentiality.
Success in this role requires exceptional organizational skills, strategic thinking, and the ability to anticipate needs before they arise. You will play a critical role in optimizing executive time management, coordinating high-level meetings, and ensuring smooth day-to-day operations.
What You’ll Do:
Executive Support & Confidentiality
Provide direct support to the CEO and other senior executives, managing communication, scheduling, and workflow with discretion. Anticipate needs and proactively resolve challenges to ensure executives' time is optimized. Handle highly confidential and sensitive information with the utmost integrity.Calendar & Schedule Management
Manage complex calendars, ensuring alignment with business priorities and minimizing conflicts. Anticipate and adjust schedules as needed, maintaining flexibility in a dynamic environment. Coordinate executive meetings, including agenda creation, attendee preparation, and follow-ups.Meeting & Event Coordination
Organize and facilitate executive meetings, including leadership meetings, board meetings, and offsites. Record accurate and comprehensive meeting minutes, tracking action items and follow-ups. Plan and execute executive retreats and strategic offsites, handling logistics and ensuring a productive environment.Travel & Logistics Management
Arrange complex travel itineraries, ensuring smooth transitions across multiple time zones. Secure reservations, manage last-minute adjustments, and prepare detailed travel briefs.Operational & Project Support
Assist in special projects, liaising between executives and key stakeholders. Support executive office operations by managing correspondence, reports, and strategic initiatives.What You’ll Bring:
10+ years of progressive executive support experience, with at least 5+ years directly supporting a CEO or high-net-worth executive. High attention to detail, ability to anticipate needs, and strong problem-solving skills. Exceptional discretion, professionalism, and ability to handle confidential information. Strong organizational and multitasking skills, with a proactive approach to managing priorities. Advanced proficiency in Microsoft Office Suite, Google Suite, and calendar management tools. Ability to work independently, take initiative, and exercise sound judgment. Excellent written and verbal communication skills, with the ability to interact at all levelsEven Better If:
Bachelor’s Degree (BA, BS) or four (4) years of equivalent job-related experience. Experience in private wealth management, family offices, or working with ultra-high-net-worth individuals.
