The CAD/CAFM Specialist II (CCS II) leads the consultation, education and technical assistance to Medxcel FM’s operations, Ascension Ministry Facilities, and Commercial Facilities, to ensure compliance with the CMS requirements for cost reporting. The CCS II must be able to recognize the regulatory, financial and interdepartmental impacts of space allocation in the management and general business operations of a healthcare facility. The CCS II develops and reports space allocation data in a thorough, accurate manner to the financial administrators of Medxcel’s internal and commercial clients, determining and remediating non-compliance where appropriate. The CCS II leads consultation with client Regional Net Revenue Management teams and the Manager of Facilities Drawings in the development of CMS cost reports to indicate square footage by room, department, building and cost center, share issues and provide potential resolutions in a professional manner to educate and bring about best possible service delivery. Provides consultative support for Real Estate, construction and facility projects as they relate to the facility master plan and space data, maintaining master drawing and Computer-Aided Facilities Management (CAFM) database congruency. Establish and maintain space allocation, gross area records, and other facility data for administrative portfolio analysis and reporting purposes. The CCS II acts as an administrator within the CAFM environment, providing database access and reporting on key metrics at the enterprise level where applicable. The CCS II is responsible for managing the Medxcel Facilities Management’s (Medxcel FM) database of master AutoCAD drawings, utilizing due diligence to ensure accuracy and proper linkage to the CAFM system. The CCS II will review and follow Medxcel FM’s means of cataloging, standardizing and updating/modifying CAD drawings as required and will collaborate with Life Safety Compliance staff in supporting the integrity of the CAD drawing library for maintaining life safety code compliance. This position is located in Home Office. Responsibilities Space Management Operational Support – 50% When required, provide field support in updating CAD drawings. Perform onsite assessments of facility space usage and departmental allocation. Act as sole customer-facing point of contact regarding space management data and inventories. Exercise independent judgement to define space based on various regulatory requirements. Recognize the financial impacts of departmental space allocation, lead investigation with Ascension Net Revenue and/or make decisions as to the best possible outcome per Medicare program reimbursement. Consult with and communicate changes to local Finance and Facility Operations departmental leadership. Communicate potential life safety issues to the life safety team to maintain code compliance and reduce potential liabilities. CAD/CAFM Portfolio Administration – 30% Leverage logic-based solutions to support system processes & policies for updating CAD/CAFM drawings with evolving field conditions. Utilize CAFM software to review and ensure data integrity in support of customer’s CMS cost reporting. Create or modify existing CAD drawings as required for compliance based on communication and field updates from Medxcel FM’s life safety team. Ensure seamless delivery of space reporting and associated drawings to facility administration. Train & develop other associates. Interdisciplinary Consultative Support – 20% Leverage industry codes and standards to calculate load factor requirements for commercial buildings, for up to and including entire acute care hospital facilities. Apply latest Medxcel/industry standards and ASHRAE code requirements (including historical AIA/DHS requirements) to accurately inventory, analyze and report ventilation and air exchange requirements for healthcare and ambulatory occupancies, for up to and including entire acute care hospital facilities. Utilize knowledge of NFPA 101 Life Safety Code to exercise independent judgement over life safety-related matters as-needed, and work with appropriate members of the Life Safety team to report to and consult with operational leadership. Qualifications Education: Bachelor’s degree in Architecture, Engineering, Drafting or related field, or equivalent combination of education, training and experience required. License/Certification: Certification in related field work such as AIHC Certified Cost Report Specialist (CCRS), HFMA Certified Specialist Payment & Reimbursement (CSPR), BOMA certification, or similar (May be obtained within 1 year) required. NFPA Certified Life Safety Specialist (CLSS-HC) for Health Care Facility Managers, NFPA Certified Hazard Recognition Specialist (CHRS), or similar preferred. Experience: Minimum 8 years of related experience, including education, preferably as it relates to architectural floor plan documentation or development, space planning or management, or industry-related consulting including field validation surveys required. Previous experience managing and/or administrating CAFM software such as FM Systems© or Archibus© required. Experience calculating load factor values for real estate marketing and cost/sf rent certification required. Previous experience participating in the design development/construction process as related to facility drawings/floor plan management required. Experience managing large-scale data sets or administrating database elements, including querying, maintenance scrubbing and analytical reporting as needed to external stakeholders required. Experience in supporting CAD/BIM drawing libraries for multiple facilities on a multi-regional or national portfolio level required. Experience with healthcare industry-related financial and regulatory requirements desirable, especially as it relates to the Medicare/Medicaid reimbursement and cost reporting processes preferred. Experience with Autodesk REVIT or similar BIM software and environments preferred. Knowledge, Skills and Abilities: Working knowledge of latest AutoCAD software required. Must be able to recognize the regulatory, financial and interdepartmental impacts of space allocation. Must possess the confidence necessary to act in a customer-facing consultant capacity. Must be able to calculate a standardized building load-factor for, at a minimum, rent certification. Ability to be sensitive to and respectful of all internal and external stakeholders and customers, without compromising in any way on the message that must be delivered. Knowledge of Microsoft Office applications required. Experience with oversized printer(s)/plotter(s) & scanner(s) preferred. Experience working in a corporate environment in a healthcare facility preferred. Must be able to work as an independent contributor without regular supervision. Effective time management skills (Capable of organizing individual tasks and managing personal time to complete assignments based on personal commitments). Ability to work on multiple projects in a matrix team environment. Excellent communications and organization skills. Must be able to travel 60%-80% of the time (overnight travel required). Other duties as assigned. Field validation work requirements. Must be able to stand for long periods of time, walking lengthy distances, lifting, climbing, stooping, pulling, kneeling, and pushing in order to adequately inspect and observe all facilities life safety protective features. Must be able to examine hard-to-reach areas such as utility spaces, mechanical rooms and penthouses.
