**Position Purpose:** The Data Entry Associate is responsible for performing low-volume data entry tasks, managing electronic files, and maintaining computer databases. The role involves entering various types of data, such as sales orders, correspondence, and labels, as well as ensuring accuracy and compliance with data field requirements. This position requires attention to detail, the ability to multitask, and a strong work ethic.
**Data Entry & Management:**
+ **Sales Order Entry:**
+ Accurately enter sales orders into the system in a timely manner, ensuring proper formatting and adherence to customer specifications.
+ Ensure all relevant data is captured for each order, including product details, pricing, and shipping information.
+ **Document Creation and Formatting:**
+ Format and produce various documents such as envelopes, labels, form letters, and correspondence based on predefined templates and data.
+ Assist in the preparation of reports or documents as required by the department or management.
+ **Data Field Accuracy:**
+ Assist with or conduct data field accuracy compliance by ensuring all entered data is accurate, complete, and conforms to company standards.
+ Perform periodic checks and audits on entered data to verify correctness and make adjustments as necessary.
+ **Electronic File Management:**
+ Perform basic management of electronic files, including organizing, categorizing, and ensuring files are stored correctly in designated systems.
+ Maintain data security and confidentiality while handling sensitive information.
+ **System Navigation & Multi-Tasking:**
+ Navigate and perform tasks across multiple systems, ensuring data is entered and updated in the correct platform.
+ Manage several open internet tabs and applications at once, ensuring no disruptions in workflow.
+ **Customer Interaction & CRM Usage:**
+ **Customer Data Capture:**
+ Accurately capture and input customer interaction details into the Customer Relationship Management (CRM) system (Salesforce experience is desirable).
+ Maintain a detailed log of all customer-related data to ensure accurate tracking and follow-up.
+ **Communication:**
+ Provide clear, concise, and professional communication with internal teams and, when necessary, external customers or partners.
+ Respond to queries and support requests related to data entry or CRM system use.
+ **General Administrative Support:**
+ **Support Departmental Needs:**
+ Assist with additional data entry tasks, filing, and documentation requests from various departments as needed.
+ Perform other administrative tasks, including handling and routing communications, scheduling appointments, and assisting with projects.
+ **Qualifications & Requirements:**
+ **Education & Experience:**
+ High School Diploma or GED required.
+ Previous experience in data entry, administrative support, or a related field preferred.
+ Experience with Customer Relationship Management (CRM) systems (Salesforce experience is a plus).
+ Basic understanding of data entry and file management principles.
+ **Technical Skills:**
+ Proficiency in Microsoft Office Suite, especially Word and Excel.
+ Basic computer skills, including tasks like copy/paste, using search engines, and navigating multiple open tabs and systems.
+ Experience with web-based applications and data entry tools.
+ **Key Skills & Abilities:**
+ **Attention to Detail:** Must have excellent attention to detail and ensure accuracy in all data entry tasks.
+ **Multi-tasking Ability:** Ability to manage multiple tasks simultaneously while maintaining focus on data accuracy and deadlines.
+ **Time Management:** Strong organizational and time management skills to prioritize and complete tasks efficiently.
+ **Communication Skills:** Excellent verbal and written communication skills to interact effectively with team members and customers.
+ **Adaptability:** Ability to adapt to changing workflows, priorities, and task requirements.
+ **Work Ethic & Dependability:**
+ A strong work ethic, reliability, and the ability to work independently with minimal supervision.
+ Dependability is critical to ensuring the timely and accurate completion of tasks.
**Other Requirements:**
+ Ability to follow instructions and work independently or as part of a team.
+ Must be comfortable working with multiple systems at once and navigating different programs simultaneously.
**Work Environment:**
+ The Data Entry Associate position will be based in an office environment, with opportunities to work on computers and interact with various systems and software.
+ The role may require long hours of data entry and the ability to focus in a fast-paced work setting.
**Pay Details:** $17.00 to $18.00 per hour
