They serve as a professional event coordinator who is responsible for planning, managing and maintaining the logistics of programs, events and activities for university students, including but not limited to the development, implementation, promotion, and evaluation of a multitude of events, often times in conjunction with student boards and campus partners. The role will be focused on developing campus events for students, ultimately supporting President Randall’s “College Town Magic” vision. Additionally, the role will support the Associate Dean of Student Engagement and Leadership with coordinating programming and events among Student Affairs departments to develop and maintain a master calendar of events, creating formalized processes for categorizing and defining types of events, facilitating standardized assessment protocols for programming in coordination with the Office of the Vice President of Student Affairs, and more. The role will work to identify programming opportunities between departments and bridge gaps to transform existing programming to meet strategic goals. The incumbent will report to the Associate Dean of Student Engagement & Leadership. **Responsibilities** **Responsibilities** 1. Oversees administrative matters regarding the wide variety of campus events for university students, including both undergraduate and graduate student populations. 2. Provides on-site presence and support for events, to ensure coordination of all aspects of the event. 3. Manages budget issues throughout events. Forecasts, prepares or directs the preparation of the program budget and monitors expenditures. 4. Negotiates terms of large and small scale contracts and/or service agreements as per University policies and procedures. 5. Coordinates all arrangements for security, risk management, grounds, transportation, accommodations, audio/visual requirements, hospitality, and marketing for programs and events. 6. Oversee the development of processes for repeatability and scalability of events. 7. Stays abreast of regulatory or other related changes impacting the program and makes recommendations for improvement and compliance. 8. Develop event marketing strategies and communication plans to ensure positive results and ensure strategy is consistent. 9. Review post event analysis of these student events, budget recaps, and feedback, and incorporate into future event plans. 10. Identifies opportunities for collaboration across Student Affairs student programming boards, and helps to facilitate strategic partnerships both within the division and across campus. 11. Serves as department representative in addressing issues and questions related to the programs, which may include representing the department on various committees. 12. May be required to provide office support, assist students and customer service opportunities, assist in the revision and implementation of policies and procedures, and to participate as staff representation on existing university committees. 13. Will regularly work a varied schedule, including early mornings, evenings, and weekends. Schedule is dependent on when student events are calendared. 14. Advances Student Affairs’ strategic goals surrounding programming and events. 15. Other duties as assigned. Four to six years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Master’s degree in a related area may be preferred. Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description. **Preferences** Master’s degree in a Student Affairs and/or Higher Education preferred. Experience working directly with student leaders. Demonstrated excellent interpersonal and communication skills required as well as a desire to work in a team setting are required. Ability to work effectively and efficiently with a variety of constituencies including students, parents, faculty/staff, community organizations and vendors is required. The incumbent must be capable of prioritizing and managing several tasks concurrently in a fast paced environment.
