Iona University is currently seeking a Campus Visit Coordinator who, in coordination with the Director of Undergraduate Admissions and Associate Director of Enrollment Management Communications and Event Planning, will be responsible for planning and executing campus visit programs for prospective students and their families. This position serves as the point of contact for visitors before, during, and after personalized visits, tours, and information session programs.
Responsibilities include:
Working with the Director of Undergraduate Admissions to build personalized visit agendas that fulfill visitors’ needs and comprehensively represent the Iona undergraduate experience. Planning and implementing the details of admissions information sessions and campus tours. Troubleshooting and resolving visit scheduling problems. Providing excellent customer service to visiting families and university staff. Overseeing the Gael Guide (Tour Guide) Program. Serving as the primary customer service representative for incoming calls and emails to the general admissions inbox and phone line.The successful candidate will work closely with the Sr. Director of Undergraduate Admissions, the Associate Director of Enrollment Management Communications and Event Planning, and the Director of Operations to develop a strong visit program, ensuring a seamless experience for prospective students and families as they proceed through the admissions cycle. This position will also ensure that the visit program has consistent routines and protocols surrounding daily activities.
Duties and Responsibilities (including, but not limited to):
Demonstrate and reflect an understanding of and commitment to the mission and core values of Iona University and the Christian Brothers. Respond to visit inquiries, serving as the consistent point of contact throughout the pre-visit process, and securing time and travel commitment from visitors. Successfully implement the Daily and Weekend Visit experience by scheduling student staff and organizing space and needs. Conduct daily information sessions for prospective students and visitors to the university. Answer incoming phone calls and respond to incoming emails as the primary customer service representative for the admissions office. Communicate with internal university constituents to arrange their participation in visit activities and resolve scheduling conflicts as they arise. Ascertain each visitor’s individual needs and interests to design an appropriate and appealing visit agenda. Maintain records and contact lists for prospective students, their families, and Iona faculty and staff involved in the visit process. Follow established guidelines for pre-planning and implementation of campus tours, information sessions, and individual events while also suggesting enhancements. Oversee a shadow program for Admitted Students. Coordinate VIP tour requests for the President’s Office, as well as other departments across campus. Collaborate with the Gael Guide Program. Compile data on daily visit programs throughout the year and provide weekly analysis reports. Provide assistance to the Director of Admissions and/or Admissions Counseling staff with travel coverage and application review, as needed. Additional responsibilities as assigned by the Director of Undergraduate Admissions. Full-time position; long hours, extensive weekend responsibilities, and night work required.
