Candidate Experience Specialist
We are currently looking for a Candidate Experience Specialist to work closely with the Talent Acquisition team to provide a reputable high-touch candidate experience. You will be engaged in interview scheduling, offer letters, onboarding tasks, and different activities that drive candidate attraction and engagement, all while focusing on accuracy and efficiency. This is a high-impact, high-potential role with incredible exposure to all team members.
In this role, you’ll have the opportunity to be an active participant in the recruiting, pre-hire, and onboarding portion of the employee lifecycle. You’ll assist Talent Acquisition and hiring managers with tasks and activities throughout the recruiting process and support the selection efforts as we look for top talent to join our organization.
What you'll do:
Ensure a positive, seamless, end-to-end recruiting process for all internal partners, stakeholders, and candidates.Utilize available technology to manage logistics and scheduling for phone, video, and in-person interviews for all participants.Leverage previous experience with Applicant Tracking Systems (ATS) to support the Talent Acquisition team in the deployment and utilization of tools and resources.Position self as an ATS Super User to gain efficiency and compliance within the system, for the team. Provide appropriate documents and resources for candidates and interview teams to have a consistently positive and structured experience.Track and monitor interview scheduling so all interviews go as planned.For onsite interviews, greet, welcome, and tour candidates, making them feel comfortable and their time valued. Oversee planning and logistics of recruiting events such as interview days and hiring blitzes.Create and send offer letters and confirmation statements to new hires and internal employees.Initiate and monitor pre-hire diligence, including background checks and drug screens.Through our vendor partner, complete Forms I-9 and E-Verify confirmation process, verify I-9 documentation, maintain I-9 files, and ensure verification and renewal of employment eligibility status.Enter new hires into the HRIS systems with accuracy and attention to detail.Manage all logistics for new hires, including back-office notifications, equipment ordering, and communication to both candidates and hiring managers. Ensure all necessary departments are notified and aware of new hires and any internally transferring employees.Update all talent acquisition processes and policy documentation as needed.Field and resolve questions and issues from internal and external parties throughout the recruiting and interview process.Interface comfortably with all levels of the organization and candidates.Once the new hire’s pre-hire steps are complete, seamlessly hand off the new hire to the Onboarding & Employment Branding Specialist so there are no gaps in the process.Share the Office Management responsibilities as needed, which include but are not limited to mail and package collection and distribution, office clean up, and the ordering, organizing, and stocking of breakroom and office supplies. Add new jobs to the HRIS system.Create badges for new employees and guests and maintain the guest badge process. Assist the broader Human Resources team with activities such as team building, holiday events, and charitable activities.

BA/BS is strongly preferred.Proven success in scheduling interviews, processing new hire forms, creating offer letters, and interacting with candidates during their recruiting, pre-hire, and onboarding processes.Experience using Applicant Tracking Systems, such as Greenhouse, Jobvite, or iCIMS.Computer literate in the Microsoft Office Suite, including strong Microsoft Outlook and Excel experience.Work Location:
