Capital Asset Management Supervisor / Service Manager III
Working/Functional Title Capital Asset Management Supervisor Position Summary Interested in helping MSU make a difference in the world by providing effective supply chain solutions? MSU University Procurement and Logistics seeks a supervisor for the Capital Asset Management team who is tasked with creating, tracking, and maintaining records for all university movable capital assets. This role works closely with university partners in support of the university's compliance and regulatory requirements. Position Duties + Maintains knowledge and an awareness of related federal, state, and university regulatory and compliance requirements + Builds, implements, and communicates updated policies, processes, reports, training, and communication methods + Ensures policy compliance with regulations and requirements + Directs and assigns audit processes to ensure compliance and accuracy, and provides seamless support to campus partners + Monitors CAM department resources to support success and ensure adequate training + Compiles, analyzes, and reports data that is maintained in various systems to support compliance and communication efforts + Creates and monitors CAM departmental budget, including monitoring expenses for fiscal responsibility + Creates/maintains asset records, audits PO/PREQ/invoices, and applies payments to align with capitalization thresholds and policy + Assists units in using the financial system asset module, i.e. transferring equipment, general error corrections, retiring assets, etc. + Reviews and processes Gift and Loan forms related to capital assets + Acts as a liaison with university departments; provides excellent customer service to campus stakeholders + Coordinates day-to-day operations of Capital Asset Management including direct supervision of CAM staff (four CTU employees) + Oversees operations to maintain quality control and meet deadlines; monitors progress of individual and team goals + Provides direction and planning for CAM, in alignment with MAU strategic initiatives + Coordinates year-end activities + Creates metrics and data reporting for leadership and identifies gaps in current reporting + Effectively leads the team to implement process and operation improvements + Identifies improvements to mitigate risks, provides recommended solutions to leadership, and manages implementation of initiatives + Conducts physical audits of equipment to ensure asset control and procedural compliance (requires physical presence in campus buildings to locate and identify university assets) + Promotes the use of non-capital asset tags for departments to track their own equipment that does not meet the capitalization threshold + Demonstrates visionary, motivational, and supportive leadership + Presents an attitude of continuous improvement and growth + Is present and visible in daily work and is approachable to staff + Exhibits excellent written and verbal communication skills + Receives and provides feedback effectively, holds people accountable while maintaining positive relationships + Maintains an inclusive and collaborative environment, both internally and externally to unit + Coordinates with Transportation Services to audit VIN numbers of motor pool vehicles for new vehicles as records are created and retired + Provide timely, accurate information with a focus on providing positive customer experiences + Oversees movable capital asset tagging process – including tag generation, tracking, updating records and processes to comply with policy + Builds and implements updated processes, reports, training and communication methods on behalf of CAM + Develops and implements policy and procedure updates including training and communication plan to CAM staff and stakeholders Minimum Requirements Knowledge normally acquired in the first two or three years in college, technical, or vocational school in a field related to the area of responsibility; five to eight years of related and progressively more responsible or expansive work experience in supervising operational activities related to the area of employment; OR knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in a field related to the area of responsibility; three to five years of related and progressively more responsible or expansive work experience in supervising operational activities related to the area of employment; or an equivalent combination of education and experience. Valid Driver's License at time of hire.
