Car Fleet Coordinator

You are responsible for the operational management of car fleet services in Belgium and The Netherlands which are in your scope. You are managing Fleet Management companies and are handling driver escalations. You are administrating related operational activities in JLL as well as in the Client systems and are working in contact with many Client services (BU’s, Finance, HR) as well as with the JLL Car Fleet Regional Team. Ensure no outages on contractual performance metrics.

Key Responsibilities

Essential Duties and Responsibilities

General Driver communication

Answering to emails to guide drivers to follow correct processes and resolve any issues they present. You are acting as an escalation point in case leasing companies are not performing well.Informing drivers on proper communication channels.Contributing to keep driver information communication platforms up to date

Vendor Management

Provide timeline and documented feedback to leasing companies about performance.Have regular vendor management meetings to discuss and improve quality of service.

Car Ordering & reallocation

Manage New Starter car requests – Liaise with lease companies to ensure spare cars are reallocated before hire cars are ordered.Instruct leasing companies when to invite drivers to order new carManage and arrange correct approvals of new car ordersManage new car changeover (work with vendors to return old cars in line with new deliveries)

Financial & Purchasing:

Generate PO requests as requiredMonitor Invoices / Request GRs / Manage PO changes / Resolve GR-IR queries / Work with leasing companies & the Client to resolve payment issuesSupport invoice documentationSupport specific client reportingManage toll administration reportsFines Management

Insurance

Update the Motor insurance database to reflect changes in the fleetProvide Fleet data as required by the Client to assist in the Insurance renewal processConnecting with insurance company to capture any driver change (stopping/starting insurance cards/requesting insurance report)

Lease Accounting Compliance

Ensure database is kept up to date, for driver changes / lease terminations.

Skills

Competencies

Very good Dutch and English language skills (both spoken and written on professional level)French language skills are a plus.Microsoft O365 skilled

Experience

3 years’ experience in customer service-related & administrative environment, ideally in car fleet management sector.Working in multi-national environment.

Qualifications

University degree, similar degree in either business administration or economics or equivalent experience
