Position Summary / Career Interest:The Administrative Assistant to Ambulatory provides high-level administrative support for departments and clinics. They support management and physicians in the assigned area in a variety of administrative tasks such as scheduling, managing departmental patient referrals, payroll assistance, and gathering data and preparing reports. Leads the administrative functions of assigned areas and is able to work independently to manage assigned tasks. This position will directly support the Cardiopulmonary Rehabilitation department at the Main Hospital Campus, as well as Overland Park Cardiac Rehab clinic as needed.

Responsibilities and Essential Job Functions

Assists in daily operations of the office.Subject matter expert and leads the administrative efforts of the department/clinic.Contacts patients referred to Cardiopulmonary Rehab servicesSchedules patient appointmentsManages departmental referral WorkquesSchedule department meetingsSubmits expenses (Workday)Enters timekeeping (Kronos)CleaningPrepares manuscripts and runs departmental reportsPrepares and edits memorandums, emails, etc.Answers (nonclinical) telephone calls and provides communicationsEvent planning and coordinationPrepares, proofs, edits, and collates reportsRegulatory inspection preparationAssists departmental Manager and staff with special projectsMust be able to perform the professional, clinical and or technical competencies of the assigned unit or department.These statements are intended to describe the essential functions of the job and are not intended to be an exhaustive list of all responsibilities. Required Education and Experience

High School Graduate2 or more years of operational experience in the department or specialty line.


Preferred Education and Experience

Bachelors DegreeTechnical or professional training/degree in Business SchoolLess than 1 year of health care experience


Knowledge Requirements

Read, write and speak EnglishAbility to speak and understand EnglishProficiency in Microsoft Outlook, Word, Excel, PowerPoint and Access required
