JOB DESCRIPTION: Catered Home Delivered Meals Coordinator – Part-Time Regular 25 to 29.90 hours a week.
Reports to: Senior Director of Clinical and Older Adult Services
Primary Responsibilities: Coordinate meal orders, accept delivery from caterer, packing and delivery of frozen meals for the Catered Home Delivered Meal Program (CHDM) and reporting. This position will include supervision of volunteers.
Specific Responsibilities:
Accept client CHDM meal and soup orders over the phone, via email, and online
+ Submit the order timely each week to caterer
+ Reach out to clients who haven’t ordered in a while
+ Process new client intakes in client database and delivery software
+ Alert Senior Director of Clinical and Older Adult Services of special client situations, such as if client expresses inability to pay for meals and needs alternative resources
+ Take payment from new meal clients for first order
+ Be present to receive meals weekly (Moderate weightlifting is required, up to 20 pounds, to move meal and soup boxes in and out of the freezer) Carts on wheels are provided
+ Be present each week to oversee volunteers to sort and distribute meals for same-day volunteer delivery
+ Manage volunteer scheduling for both meal packing and delivery weekly
+ Coordinate and communicate calendar changes around holidays to staff, volunteers and clients
+ Troubleshoot where deliveries are unsuccessful
+ Coordinate with caterer twice a year to update the meal menu plus Passover
+ Ensure billing is sent to the Office Manager weekly after each distribution
+ Follow-up on delinquent accounts
+ Reconcile cash receipts once online orders include accepting payment in advance
+ Master software to capture all meal orders, organize delivery for volunteers based on location preferences, pull billing and other reports, as needed
+ Provide meal program data, as requested, for grants
+ Aid in the application and / or renewal of grants
+ Other duties, as assigned
Qualifications:
+ Effective verbal and written communication skills
+ Managerial experience with volunteers a plus
+ Must have comfort with Microsoft Excel and use of software
+ Moderate lifting is required (soup boxes may be up to 20 pounds)
