The department of Psychiatry has an exciting opportunity for a full-time Center Administrator to work on the UHealth campus. The Center Administrator oversees the management and administrative support functions. The incumbent on this role works with leadership to meet the needs and ensure that the organizational structure is operational. Moreover, this employee develops short- and long-term plans for financial forecasting, budgeting and management, human resources, facilities, and research and grant funding. Additionally, the incumbent assumes responsibility for developing and expanding programs for scientific research, preventive medicine, medical and vocational rehabilitation, and community health and welfare. CORE JOB FUNCTIONS + Provides leadership with the identification of obstacles that impede the center’s progress and develops administrative vehicles to overcome these obstacles. + Assists in developing substantive changes in institutional policy and procedure and familiarizes faculty, staff, and constituents with these. + Directs the communications, media relations, and public information programs designed to further the mission of the Center. + Coordinates medical communications to maintain accuracy and consistency. + Works with the Center’s faculty and staff to identify key issues and strategies and incorporates these in an effective and consistent public relationship program. + Meets the center’s faculty and staff on a routine basis to keep abreast of research, treatment, and academic activities. + Develops and maintains media contacts and scientific media in local, regional, national, and international markets. + Assists in generating evaluative data on special and target programs and develops administrative solutions to ensure their seamless operation. + Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures. Department Specific Functions + Oversight of administrative, research and financial functions for the Center for Translational Sleep and Circadian Sciences (TSCS) + Partners with vertical leaders to develop and maintain metrics and a dashboard for all verticals within the Center including Research, Training, Innovation and Community Engagement + Develops strategies for long-term center growth, including identifying and supporting the pre-award process for grant opportunities that align with the Center’s mission + Directs, establishes, and plans the overall policies and goals for the center’s operations + Implements structured post-award management, including detailed tracking of expenses to ensure decisions can be made with real-time data + Supervises and trains center staff, including offering continuous education opportunities to enhance skills of research staff + Aligns efforts within each TSCS vertical including communication channels, collaborative projects and a unified goal-setting process + Participates in the strategic planning and operationalization for the Circadian Lab + Ensures postdocs and junior faculty are partnered with supportive mentors and are advancing their academic efforts + Develops media relation strategies to publicize TSCS efforts and increase trial enrollment + Writes and updates procedures and manuals and reviews them annually to ensure that employees have current information needed to perform tests and procedures + Works closely with department management, investigators, and physicians to ensure the highest standards of quality and service. + Collaborates with upper management to provide oversight for all center activities, including participation in health fairs to recruit and enroll volunteers in various studies, handling of home digital health devices, specimen collection, data processing and curation. + Establishes and continuously assesses the effectiveness of the internal controls within the center and compliance with University policies and procedures. Ensures employees are trained in the use of proprietary methods and tools for cloud-based data acquisition, curation and processing of home-based recordings. + Interfaces with center faculty and staff to ensure achievement of project goals for all NIH-funded research projects and training grants in consultation with the Community Steering Committee. + Interfaces with members of the community steering committee to assist in the execution of study protocols and obtaining access to recruitment sites. + Ensures acquisition of adequate paperwork to support consultancy in various studies. + Oversees development of the Circadian Laboratory and management of lab technicians and students working on various experimental protocols. + Oversees submission of new collaborative center grant applications as well as post-award execution of approved protocols under the PI supervision. CORE QUALIFICATIONS + Bachelor’s degree in relevant field + Minimum 5 years of relevant experience Knowledge, Skills and Attitudes: + Ability to direct, manage, implement, and evaluate department operations. + Ability to establish department goals and objectives that support the strategic plan. + Ability to effectively plan, delegate and/or supervise the work of others. + Ability to maintain effective interpersonal relationships. + Knowledge of business and management principles. + Commitment to the University’s core values.
