The Centralized Registrar is part of our corporate office and is responsible for planning, organizing and managing all of the activities related to the Records and Registration, including serving as the official authorized keeper of the college’s student records. This position is primarily responsible for the compilation and maintenance of student records in compliance with federal law, state law, and accreditation agencies. The Corporate Registrar compiles and maintains student records and state reports, assists students and patrons, maintain smooth operation of office. This position is required to keep abreast of regulations and procedures for student records as required by government and accreditation agencies. This position serves as the main resource of FERPA regulations and compliance.
ESSENTIAL DUTIES, RESPONSIBLITIES, AND EXPECTATIONS
• Develop and maintain a centralized scheduling process for all campus locations including online;
• Schedule students for all campus locations including online;
• Organize and administer the records, registration and graduation functions, including transcript evaluations;
• Participate and serve as part of the Registrar Student Services Team. Lead initiatives as determined by the Vice President of Education;
• Responsible for collecting, recording, maintaining and reporting of student records within FERPA guidelines, e.g., grades, registration data, transcripts, mid-term verification, SAP, attendance, LOAs and so on;
• Problem solve the research, analysis and resolution of student disputes as they relate to records and registration;
• Serve as ex-officio member of Curriculum Committee;
• Participate in professional development activities and serve on committees;
• Provide back-up for campus registrar’s records and registration services, including registering students, issuing transcripts, answering phones, scanning, reporting grades and working special events;
• Provide records and data for reporting purposes for internal and external customers (IPEDS, TWC, COE and so on);
• Maintain Accuracy, Integrity and Security of Student Information System as related to Academic Records
• Provide training to campuses in related Registrar and Academic Advisor functions
• Provide oversight of transcript evaluation for transfer students and provide evaluation of military, CLEP, AP and other forms of Prior Learning;
• Assist campuses in establishing a student-centered culture within the Registrar's Office;
• Implement and administer academic policies and procedures regarding course registration, class scheduling, academic credit, certification of the degree, grading, and processing transcripts;
• Represent the Institute and all affiliated brands in the most professional and positive light at all times;
• Regular, consistent, on-time attendance is an essential function of the job;
• Perform other duties as required or assigned.
QUALIFICATIONS
• Bachelor’s Degree required. Master’s Degree in student services, educational administration or a related area preferred;
• 3 years of direct experience or 5 years in a related area. 5 years of direct experience in a post-secondary educational institution preferred;
• Demonstrated understanding of the application of technology to deliver Records and Registration services.
