The Department of Classics at the University of Virginia seeks an Intermediate Administrative Coordinator to provide administrative support and support on Grounds office operations. This position is under the direction of the Chair of the Department and the Department Manager.
Duties Include:
Support Department Operations and Procedures. Learn and perform department and school procedures and policies.Fiscal Support. Process the department’s purchasing and reimbursements, prepare monthly account certifications, and maintain the department travel and expense card. Process account receivables, run fiscal reports, monitor fund balances, and work with department manager to stay within budget.Academic & Student Support. Assist students with program policies and questions, maintain student records and milestones in the Student Information System (SIS). Assist faculty with processing course curriculum forms, scheduling courses, and classroom scheduling.Event Support. Coordinate internal and external events and speaker travel (5-10 per year). Schedule department meetings and orientation. Arrange department graduation ceremony.Record Keeping. Serve as the department’s records management coordinator.General Administrative Support. May answer phones, prepare correspondences, maintain calendars, schedule meetings, serve as facilities coordinator, and maintain department website.In addition to the above job responsibilities, other duties may be assigned.Qualifications
A high school diploma and four years of relevant experience required. A Bachelor’s degree may substitute for experience.Demonstrated ability to work independently and in a team environment.Excellent verbal, written, and interpersonal communication skills.Ability to be flexible and prioritize tasks while effectively managing time and efficiency.Ability to use a variety of platforms and programs (including by not limited to Microsoft Office 365 products, SIS, Workday, Live25, Payment Works) and confidence in learning new systems.This position is located in Charlottesville, VA.
Anticipated Hiring Range: $23.00 - $27.00 hourly, commensurate with education and experience. This is a Non-Exempt level, benefited position. For information on the benefits at UVA, visit hr.virginia.edu/benefits.

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
