**Job Title:** Clerical Support Assistant
**Location:** Houston, TX 77032
**Shift Hours:** 7:00 AM - 4:00 PM, Monday through Friday (Additional shift options may be available)
**Position Summary:** We are seeking a detail-oriented and efficient Clerical Support Assistant to provide essential administrative and clerical support at our facility. This position involves a combination of customer service, office administration, financial bookkeeping, SAP processing, and other office-related duties. The ideal candidate will possess strong organizational skills, excellent communication abilities, and experience with SAP software and Microsoft Office Suite.
**Key Responsibilities:**
1. Answer phones, greet visitors, and provide assistance or direct inquiries in a courteous and professional manner.
2. Sort, open, and distribute incoming mail.
3. Prepare and format reports, letters, memos, presentations, and other special projects as assigned.
4. Handle outgoing mail, prepare Federal Express packages, and send faxes when necessary.
5. Record and track product shipments and receipts, ensuring accuracy and timely processing.
6. File and organize company and associate paperwork in accordance with established procedures.
7. Assist with hiring processes, workers' compensation administration, payroll functions, and SAP software practices and processes.
8. Order and maintain office and facility supplies as required.
9. Prepare detailed reports summarizing customer activities and relevant operational data.
10. Process accounts payable by retrieving and reviewing all bills, obtaining necessary approvals from the General Manager, and mailing appropriate documentation.
11. Assist the General Manager with budget preparation and financial record-keeping.
12. Ensure the confidentiality of all documents, correspondence, and communications.
13. Contribute to maintaining a safe work environment by identifying safety concerns and suggesting cost-saving opportunities.
14. Process SAP transactions and maintain accurate records.
15. Provide excellent customer service, responding to inquiries and resolving issues as needed.
16. Perform other duties as assigned.
**Qualifications and Requirements:**
+ High school diploma or GED required; 3+ years of general office experience or equivalent training/experience.
+ Proficiency with SAP software, AS/400, and Microsoft Office (Excel, PowerPoint, Word).
+ Strong customer service skills and ability to communicate effectively with a wide range of individuals.
+ Typing speed of at least 30 words per minute.
+ Strong organizational skills and ability to manage multiple tasks.
+ Ability to maintain confidentiality and handle sensitive information with discretion.
**Physical Requirements:**
+ Ability to sit for extended periods, communicate effectively, and utilize close vision.
+ Frequent use of hands for typing, grasping, handling, or manipulating objects.
+ Occasional lifting of up to 10 lbs and the ability to stand, kneel, or crouch as needed.

+ Compensation: Competitive hourly rate based on experience
